1 Dear Director, Purdue University s Department of Bands welcomes you to the 28th Purdue Jazz Festival. This on-line packet should include all of the information that you will need to make your visit to Purdue University both educational and enjoyable. You will find attached to this A schedule of band and combo performances and clinics in our nine performance/clinic sites: the Purdue Memorial Union s North Ballroom, Room 240 (Faculty Lounge West), Room 250 (Faculty Lounge East, the South Tower and the Anniversary Drawing Room; Stewart Center s Loeb Playhouse, Fowler Hall and Rooms 278 and 302; and the Hansen Theatre in Pao Hall. A general information summary sheet with pertinent details regarding the festival Information regarding the clinics, concerts and events that will be taking place from Thursday January 18 through Saturday January 20. NO PLAYING of instruments can take place except in warm-up and performance areas! We have outstanding judges and clinicians who are willing to share their talents and knowledge with young musicians for very little compensation. Please ask your students to be polite and attentive. Take a few minutes to carefully look over the information provided. Unloading and parking of buses change slightly each year, so check carefully and share information with your bus drivers. With security measures and shifting construction issues still in place along with constantly changing parking areas, Purdue police are stricter about procedures than ever, and they do not hesitate to tow! 2 Purdue Jazz Festival January 20, 2018 Information Summary PLEASE READ CAREFULLY DIRECTIONS TO THE PURDUE CAMPUS Stewart Center From Chicago, Fort Wayne, Indianapolis and South Bend: Exit I-65 at Exit 172 and proceed west (toward Lafayette) on South Street. Proceed four miles to West Lafayette. (Be sure to follow the state Route 26 signs carefully. At the intersection with Main Street, state Route 26 will jog one block north and become Columbia Street.) When you cross the Wabash River you are in West Lafayette and are now on State Street. Proceed to the fifth traffic light and turn right on Memorial Drive. Stewart Center will be 1/2 block on your right. From Champaign, Crawfordsville, St. Louis and Terre Haute: Exit I-70 (Exit 41) or I-74 (Exit 34) on U.S. 231 North. When you cross the Wabash River, you are in West Lafayette. At the third light, turn left on State Street. At the Third traffic light, turn right on Memorial Drive. Stewart Center will be 1/2 block on your right. Bus drivers should consult the Bus Parking instructions supplied by Purdue Police (in the e- packet) for detailed instructions on how to maneuver around the construction and the many new two-way streets around campus. DIRECTIONS TO THE PURDUE CAMPUS Pao Hall FROM INTERSTATE 65: Exit Interstate 65 at Highway 43. Follow Highway 43 into West Lafayette. Turn right onto State Street at the light (there is a McDonald s on the corner). Up the hill, you will pass through two stoplights. Right passed the second light, you will follow the curve to the left and proceed in the right-hand lane. Keep going straight passed the parking garage. Passed the curve to the left, you will proceed straight and immediately turn into the parking lot on your right. If traveling north on US 231: You will turn right onto Highway 43 and proceed with the directions above. UNLOADING AND PARKING NEW! See attached and please make sure your bus driver has this information! Also, please note that we do not furnish a bus driver s lounge, but there is plenty of lounge space in the basement of the Purdue Memorial Union with a Starbuck s and other restaurants. FYI the parking garage behind Pao Hall between Marsteller and Sheetz has been demolished and that area is now a gravel parking lot. The most convenient parking garage is now the Grant Street garage (PGG) just across from the Union, be aware that it is a paid lot. Other Saturday only free parking lots close to PMU and Stewart Center include the Grant and Wood streets (PGGW) garage (south of State Street on Grant) and the Northwestern Street (PGNW) garage, which contains the Visitor Information Center. CHECK-IN Directors must check in at the tables located in the lobby of Stewart Center upon arrival and turn in three copies of scores (scores are not required for non-competitive groups or combos) and four copies of the Repertoire and Soloists sheet. From registration, a Purdue student will escort you to your homeroom/storage area. A host will be assigned to guide you through your warm-up and performance. Your host will meet you in your homeroom area 30 minutes prior to your warm-up time. Pao Hall performers please refer to Pao Hall information concerning their check-in and bus parking.

3 CONTEST HEADQUARTERS The contest headquarters will be located in Stewart Center Room 107. This area will be off-limits except to band directors and contest officials. Questions or problems that cannot be resolved at check-in will be handled here. MUSIC SCORES and REPERTOIRE & SOLOISTS SHEETS If your band is competing for Honor Band status, you must provide three copies of your musical scores for the judges reference. Copies are acceptable and measures must be numbered. Scores will be collected at the check-in point. Scores are optional for combos and non-competitive bands. Each performing group must have four copies of the REPERTOIRE & SOLOISTS sheet turned in at the registration table in order for students to be considered for any individual awards. Please make every effort to fill out these forms in a clear and legible manner as these will be used by our awards staff to get your awards to you in a timely fashion. PROVIDED EQUIPMENT & STORAGE Because of limited storage space, and to ensure that the festival runs efficiently, we are furnishing the following. (You are welcome to provide your own equipment instead, but the 30 minute total performance time including setup and tear-down will be strictly enforced.) DRUM SETS: Fully equipped Pearl 5-piece drum sets and Zildjian cymbals at each performance location and warm-up site. VIBES AND PIANO: Performance rooms will also be equipped with a set of vibes and a piano (in some cases an electronic keyboard instead of acoustic piano). Warm-up rooms will be equipped with a piano or keyboard w/amp and a bass amp. MUSIC STANDS: All Big Band performance rooms will be provided with 25 music stands for your use, the combo room will have 9. Warmup rooms will be provided with 20 music stands. We will provide chairs as needed, but if you need more music stands for your group than the numbers provided, you will be expected to bring those with you. Not Provided: Each Band will need to bring its own performance bass and guitar amps as well as cables/patch cords, and any other items not listed as provided above. Storage: Because of the large number of bands participating and our limited homeroom space due to some new Purdue space management issues, we encourage you to move your equipment to your buses as soon as possible after your performance(s). However, if you have a late performance time and you desire supervised, secure storage of equipment after your performance until after the Final Concert, all equipment must be moved to the Stewart 214 before 5:00 or as soon after your performance as possible. All homeroom areas will be monitored by Purdue Jazz Festival workers, and your assigned area will be clearly marked. Students will not be allowed to hang out in the instrumental storage areas. Students are encouraged to use the coin lockers to store individual instruments. These lockers are free, however a quarter deposit is required for the key. (See Stewart and Union maps for locker locations) WARM-UP The warm-up room for each performance hall is listed on the Quick Room Guide and on your building map. Each band will have approximately 22 minutes of warm-up time. A drum set and cymbals, bass amp, piano (or a quality electronic keyboard) will be available in each warm-up room you must provide all ¼ patch cords for guitar and bass. Your band s performance amps may be placed at the doors of the performance hall prior to reporting to the warm-up room. Your host will assist you. PERFORMANCE TIME Each band will be allowed 30 minutes total time to set up, perform, and exit the stage. To ensure that we remain on a smooth schedule throughout the day, please bring 4 copies of the repertoire and soloist sheet to turn in at registration! A full Pearl 5 piece drum set with Zildjian (ride, crash, hi-hat) cymbals with hardware,

4 and a set of VIBES will be provided at each performance site. Stage workers will assist you in your microphone set-up. If you feel that you must use your own drum set and/or cymbals, then please realize that the 30 minute requirement for total onstage time will still apply- that will include moving the provided drum set and resetting it for the next band. Time permitting; one of the judges will conduct a short clinic on stage at the conclusion of your performance. CLINICS Clinics will be presented throughout the day by many of the outstanding jazz musicians and educators appearing at the festival. We strongly encourage you to insist that your students take advantage of the opportunities available to them by attending and participating in these clinics. For your planning purposes, a clinic schedule is enclosed, but may change. As was the case last at year s festival, all of the clinics will take place in the East Faculty Lounges and Tower room on the third floor of the Purdue Memorial Union. A final clinic list will be ed to you the second week in January. The definitive schedule for the day will be available at the registration table and will be in your entrance packet when you check in. SATURDAY EVENING CONCERT Due to the need for so many bands to get on the road to return home as early as possible, the Final Concert will begin at 6:30 pm (or as close as possible to 6:30 pm, depending on competition finishing time) in the Loeb Playhouse. The show will feature the Purdue Jazz Band with guest artists Victor Goines and Dan Fornero. Although the concert price is included in the entry fee, everyone must have a ticket which you should have reserved with the application. The tickets will be included in your registration packet the day of the festival. The concert will last less than one and one half hours. Equipment may be left in the designated storage area (Stewart Center 214) during the evening concert. However, you may find it more convenient to store equipment on your bus. TICKETS All events during the day Saturday are free and open to the public. The Friday evening John Beasley and MONK estra Big Band concert requires a ticket purchased from Convocations (765) ( lzclavio@purdue.edu). The Free Saturday Noon concert featuring the Purdue Jazz Band with Ryan Cohan and appearances by Victor Goines and Dan Fornero does not require a ticket, but the Final concert requires an entry ticket for all students, directors and adult sponsors (contact Janet Baker at Purdue University Bands ). These tickets were reserved on the online registration form and you should have been notified whether or not your requested tickets were available. Please see the enclosed ticket policy concerning this concert. AWARDS Trophies will be presented to the top two groups determined by total judges scoring from each performance venue, with the top group named as the Honor Band. The second highest point total will be awarded Outstanding Performance. A Judge s Award will be awarded to the band with the third highest score, and outstanding individuals will be recognized from each site. There will be numerous awards given at the judges discretion for soloists, rhythms sections, trumpet sections, sax sections, etc. Awards will be in the form of certificates, jazz camp scholarships, Aebersold play-a-longs, and small trophies. All individuals in any of the participating ensembles will be eligible for these awards. All awards will be announced and presented at the conclusion of the day at the Final Concert in Loeb and ed to all participating bands immediately following the concert. ADJUDICATION and RATINGS All bands, competitive or not, will be fully adjudicated. We encourage the judges to give both written and recorded comments, but there are always some who give more of one than the other. Also, unless you requested a non-competitive category, each band will be given a rating by each judge. It is our hope that this will give you a clearer idea of how your band compared to the rest of the bands during the day. Total scores of will be scored as I, will be II, and below 70 as III. Attached is a sample adjudication form to let you know what the judges will be listening for. Audio recordings of the judge s comments and video recording of

5 your performance will be included on a USB flash drive. That flash drive, along with adjudicators comment sheets will be in the exit packets. Each director will be texted when their packets are ready to be picked up from the festival headquarters. INSTRUMENT REPAIR The outstanding instrument repairman, Brent Laidler, of Brent s Bench in Lafayette will have a table located in the foyer at the entrance to Fowler Hall in Stewart Center for emergency instrument repair and minor emergency equipment needs. FOOD SERVICE It is a rule in the Purdue Memorial Union and Stewart Center that there is NO outside catering if you bring in outside food, Purdue Bands will be assessed a large fine, which we will pass on to your band. Extensive food services are available on the bottom floor of the Purdue Memorial Union adjacent to Stewart Center as indicated on your building map. This area has been remodeled recently with new restaurants and facilities. There are also many other food establishments within walking distance to the performance areas.

9 2018 Purdue Jazz Festival Concerts, competitions, and clinics Jazz bands from High School in, directed by have been accepted to compete in the 28th Annual Purdue Jazz Festival in West Lafayette, IN on Saturday, January 20, Festival events will begin Thursday, January 18, with a free Community Showcase Concert at 7:30 p.m. at Lafayette s Long Center featuring the Purdue Jazz Band, jazz bands from Tippecanoe County, and guest pianist Ryan Cohan. Throughout the three-day festival, student musicians and the public will have the opportunity to work with and learn from nationally renowned artists. The event will boast several headliner concerts as well as competitions, clinics, and other special events. John Beasley s MONK estra will serve as the Friday night headliner concert on January 19 at 8:00 p.m. in Loeb Playhouse of Purdue s Stewart Center, sponsored by Purdue Convocations. On Saturday, instrumental jazz ensembles from five states will arrive early on Purdue s Campus for the competition. It will stretch throughout the day in nine performance venues in the Purdue Stewart Center and Purdue Memorial Union. The music will start at 8:30 a.m. and will continue through 6:00 p.m. These events will be free and open to the public in addition to clinics provided by all of the festival guest artists on Saturday. Artist-in-residence, Ryan Cohan will be featured in concert with the Purdue Jazz Band set at noon on January 20 in Loeb Playhouse. This event will also be free and open to the community. World renowned trumpeter, Dan Fornero and composer Victor Goines, the Director of Jazz Studies at Northwestern University, will headline Saturday s Festival Finale concert with the Purdue Jazz Band at 6:30 p.m. on January 20 in Loeb Playhouse. Awards and honors for the high school performances will be announced at this concert.
