3 Guidelines Thank you for choosing to use an Access Key for the Knox Carols By Candlelight For your Access Key to be successful, we recommend you follow these guidelines: Access Keys preferably to be obtained two weeks in advance of visit. Access Keys to be read calmly and confidently in an environment free of distractions. An adult/carer is to read the Access Key with the participant as often as required, to ensure the participant understands the Access Key. Help the participant comprehend the key points of the Access Key, consistently monitoring for level of understanding. If using the Access Key as a reflective tool, enjoy the pivotal link between experience and recall after the visit has taken place. 4 Did You Know? Knox Carols by Candlelight is held at Wally Tew Reserve, Brenock Park Drive, Ferntree Gully. Entry into the event is free of charge. Knox Carols by Candlelight is Knox City Council s flagship Access and Inclusion event which celebrates the International Day of People with Disability. See Knox City Council website for more information. Please click here to view Knox Community Access and Equity Implementation Plan A host of accessibility features will be available including accessible parking, accessible toilet (Marveloo), braille and large print songbooks, Auslan interpreter, a designated access seating area, a Chill Out space, pedestrian friendly flooring and an accessible ramp onto the stage. Wristbands for children will be available. They will include parent phone numbers to assist in child safety at this large-scale event. Karen Andrews, aka Ms Murphy, will be the headline artist on stage. All artists performing at Carols will be supported by the Royal Australian Navy Band - Melbourne. 5 Accessibility Features For Patrons Who are Blind or have Low Vision Song books will be available in braille and large print. They can be collected from the Council information marquee (see map on page 6, reference 3). Carols by Candlelight Saturday 1 December Carols Songbook Proudly presented by Knox City Council Deaf and Hard of Hearing Accessibility Auslan interpreters will be on-site. They will be located on the right-hand side of the stage (if facing the stage). Auslan interpreters will also be projected onto screens. Screens will be located on each side of the stage to provide a better level of viewing. Designated Access Seating Area There will be a designated access seating area available. It will be located in the main entertainment audience area (see map on page 6). This area will be marked out with traffic cones, tinsel and a-frame signage. 6 Parking General parking will be available in the adjoining streets and shopping precinct car parks around the event site. Accessible parking will be available. There will be approximately 30 bays. Entry for accessible parking is through Glenfern Road gate. Parking attendants will be available to direct vehicles. Parking attendants wear high visibility vests. Pedestrian Friendly Flooring Access Seating Water Accessible parking will be open for patrons to come and go throughout the event. Marveloo A drop off point will be available alongside the event location, please be guided by our traffic attendants. 8 Entry Gates will open at 4pm and entry is free. Entry can be made through three different gates. There are two gates located on Brenock Park Drive and one gate is located on Glenfern Road. All pedestrian entrances are accessible. Song books will be handed out at entry points, and at the Council Information marquee. An electronic version is available on the Knox City Council website. Venue capacity is approximately 20,000 patrons. 9 Staff and Assistance Carols by Candlelight staff wear Knox City Council t-shirts and high visibility vests. Security Guards wear a black uniform with high visibility vests. St. John Ambulance Australia (Victoria) will have a first aid station located at the Event Control building. St. John Ambulance Australia (Victoria) first aid staff wear a jumpsuit with the medical cross visible on their back. Victoria Police will be on-site. They wear a navy uniform with high visibility vests.

10 Toilets There are fixed separate male and female toilets available in the Event Control building. A baby change area is available in the Event Control building. A full size Marveloo accessible toilet will be available. It will be open from 4pm until 10.30pm. It is located next to the Event Control building (see map on page 6). The Marveloo will be locked to minimise vandalism and inappropriate use. For patrons that may not have their key with them, a key can be collected from the Event Control building. Marveloo is a mobile accessible restroom that includes an overhead ceiling hoist, height adjustable adult change table, a fully accessible toilet, curtains for extra privacy, an access ramp, an automatic door, heating and cooling and an external sun shade. Portable toilets will be on-site. For locations refer to the map on page 6. 11 Family Activities Free family activities will be running from 4pm until 8pm. Family activities will be located in marquees to the left of the stage (when facing the stage) and at the back of the oval. 12 Pre-Show Entertainment Stunning Pre-Show entertainment will commence at 5:30pm and run through until 7:30pm. Pre-Show entertainment will be located on the main stage. 13 Chill Out Space A Sense of Self chill out space, created by visual artist, Sara Catena will be available from 4pm to 10.15pm. It will be located at the rear of the oval, next to the Christmas market. The role of the Sense of Self chill out space is to assist patrons in preventing and reducing challenging behaviours due to triggers such as noise, lights and crowds. It is for people of all ages and all abilities. This space will be operated by the artist and staff at all time. Staff have Working with Children Checks. No guidance, counselling or child minding will take place. Patrons can retreat and rest whilst being cocooned amongst the colourful artwork of the separate sensory pods. There will also be an ultra-quiet cave within this space for patrons to reset. Download to your phone or tablet, ReachOut Breath App and/or ReachOut Worry Time App. Both available from the App store or Google play. 14 Main Carols Concert The Main Carols Concert will commence at 8pm and run through until 10pm. The Main Carols Concert will include a wonderful range of entertainment from talented local acts to nationally acclaimed artists and musicians and dancers. Entertainment will include: Karen Lee Andrews, Vocal Soloist Director of Music, Lieutenant Andrew Stokes leading The Royal Australian Navy Band - Melbourne Kirsten Hobbs and Stephanie McCorkelle, vocalists for The Royal Australian Navy Band - Melbourne Urban Praise Gospel Choir Taylah Paull and Amy Smith, Knox Factor winners 2017 and 2018 Christmas message by Pastor Jenny Phillips Candle lighting ceremony with members of the Knox Interfaith Network Dancers Edge performances Song books will be available free of charge. They can be collected from the Council information marquee (see map on page 6, reference 3). This marquee is white with Knox Council banners visible at the entrance. There will be large screens on each side of the stage to provide a better level of viewing. One screen will largely focus on the Auslan interpreter.

15 During The Main Carols Concert FIRST Knox Mayor, Jake Keogh, will deliver an opening address followed by a welcome to Country from a Wurundjeri Elder. NEXT Craig Irvine, Master of Ceremony (MC) will come on stage and introduce the first act. NEXT (throughout show) The MC will introduce each performer. During the show, Santa Claus with his friendly Elf will appear. THEN At the end of the show, the MC will invite all performers on stage to wave goodbye. The show will finish at 10pm followed by a 7 to 9-minute fireworks display. Umbrellas down please! 16 Food Vendors Food vendors will be located between the Event Control building and the Inflatable Fun Park. Food vendors sell food and beverages. Patrons are advised to bring cash. Some vendors may not have eftpos available. A water station will be available inside the venue. It will be located on the right-hand side of the stage (when facing the stage). 17 Milo Fireworks There will be a 7 to 9-minute firework display at 10pm when the Main Carols Concert has finished. This display will be noisy and bright. During the firework display some fireworks may shoot straight up before exploding, others whirl in a spiral, some shatter into thousands of sparks, others tumble like a water fall and some float like shimmering showers. The firework display will be colourful and the fireworks may appear to spin, whisk, shoot or dart into the night sky. The firework operation area is an exclusion zone! 18 Time To Leave The Show will conclude at 10.15pm. Exit will be through the same three gates that patrons entered. Two gates are located on Brenock Park Drive and one gate is located on Glenfern Road. Parents: a family pick-up area is available on Brenock Park Drive (enter via Glenfern Road). The venue will remain well-lit until the last person leaves. Event organisers request all patrons exit in an orderly manner, walking only. Knox City Council and AccessAbilityAustralia would like to wish you and those close to you a very Merry Christmas and a Happy New Year.

19 Accessibility An accessible website with information about services and event Knox City Council is Relay Service Friendly. Go to Relay Service and give the number you want to call. A site map indicating accessiblity features available (see map on page 6). Wheelchair/scooter charging station (power point) located at the Event Control building. Please see a staff member in a high visibility vest. Pedestrian friendly flooring will be placed on high traffic areas to allow for accessibility and prams. Please note the pedestrain path leading to the Chill Out space is the existing ground and is an accessible surface. Direct access to an accessible toilet (Marveloo). Designated access seating area. Song books available in braille and large print. Auslan interpreters present on stage. Auslan projected onto screens. Accessible ramp onto the stage. Assistance animals welcome. For patrons requiring telephone access, please go to the Council information marquee (see map on page 6, reference 3) and ask to use the event mobile.

20 Safety Unsealed pedestrian entry on Brenock Park Drive with gravel embankment entering on to the oval. Varied terrain throughout (grass, concrete). The ground is mostly flat with some small embankments on surrounding areas. High traffic areas will include pedestrian friendly flooring. Small raised edge on pedestrian friendly flooring. Additional lighting towers throughout venue with main access points well lit. Note, most lighting will be subdued during the Main Carols Concert so as to not distract from the stage lighting. Obstacles throughout including marquees, chairs, rugs and rubbish bins. The stage is a large structure of around 12-metres in length. It is recommended patrons stay away from this immediate area as it is busy with staff, technical crew and performers. Cables may extend across ground surfaces (appropriate cable trays will be provided). Large speakers are located in main entertainment audience area. They can be extremely loud. It is recommended not to stand too close. Water station located inside the venue (see map on page 6). Children must be supervised at all times. Wristbands for children will be available from SES staff located to the right of the main stage (when facing the stage). Wristbands can also be obtained from the Council information marquee (see map on page 6, reference 3). Wristbands are an option for parents to include mobile phone numbers in the event their child goes missing. A lost children collection area is located at the Council information marquee (see map on page 6,, reference 3), identifiable as a white marquee with Knox Council banners visible at the entrance. Staff have Working with Children Checks. If first aid is required, please see a St. John Ambulance Australia (Victoria) first aid attendee. Defibrillator available for use located in the Event Control building. Security, emergency services and Victoria Police on-site. Patrolled pathways and carparks. Event organisers request all patrons move through the venue in an orderly manner, walking only. In the event of an emergency, staff will help and direct patrons to the nearest exit, which will likely be the same way you arrived. Please move to the designated assembly area.
