Business Arising from the Minutes None MUSIC DEPARTMENT RETREAT May 6, 2014 M Items for Information 4.1 Chair s Report (Oye) - Congrats to all for a productive and successful year. - Congrats to DAA Shea Brossard and Andrew Spencer, winners of the Ron and Joyce Sakamoto award. - Faculty and Staff news, please submit to Deanna via and will have it distributed to all. - Search committee has been busy, Congrats to Paul Sanden who is now with us for another 3 year term. - FFA 9 month half time position, internship coordinator for all of the Fine Arts. (more info when the dean comes) - Congrats to Airdrie Robinson on her successful defense as her MMus thesis. 4.2 Studio Report (Davies) - Two changes in recital schedule: - 10 early auditions all accepted with scholarship - 48 auditions for the May auditions, Applications will be accepted up until May 9th. - We are allowed to videotape auditions as long as we don't reproduce the video. - A ranking system is needed, for all areas is already happening in the voice area. - Please confirm numbers of students not returning in Fall Suggested recital jurying schedule: jurors on a percentage based on studio numbers. 6 studio students = 3 recital juries. - Currently in talks with Margot about budgetary restrictions in adding a second wind ensemble. - Suggestion that students be responsible for finding their own jurors when they schedule their recital. - Suggestion that Junior Recitals be optional non-juried events, with no extended jury if they have done the recital. Juries should happen once a year in the (2nd, 4th, 6th, 8th) semester. - STUDIO MEETING to discuss the item above. 4.3 Conservatory Report (Mezei) - Approaching first year in CASA, 20% increase mostly in private lessons - $4500 Crowsnest symphony (FEEL THE BEAT) - $5000 City of Lethbridge - NEXT YEAR: focus on the ensembles

3 - Coming Up: FEEL THE BEAT "Hansel and Gretel" o SAVE, Let's Sing, Let's Drum (with an adult camp this year) o Next year: a vocal workshop and string workshop - NEXT YEAR Feel the Beat: Peter and the Wolf - Pilot project: Theory courses (RCM) Bente Hansen and Colleen Klassen - Opened a partnership in the Warner school district (Magrath, Crowsnest Pass) - Pressure Points: Fees to run the building 50% through central the rest needs to be covered by the conservatory ($ ) o Rentals LSO/LCBS rent space 7500 o STAFFING: attracting new faculty, contracted or project employees of the U of L (no longer selfemployed) o increasing fees to match the market in the city - Should create dedicated fundraising campaigns for the conservatory - Possibly hire a part-time person to sit at the conservatory desk from 4-7pm 4.4 DAA Report (Stewart) - Sakamoto prize (see 4.1) - SHURE recording competition U of L 2nd place (receiving microphones and head phones) - 3 candidates being considered for the Gold Medal award all DAA students Shaun Bellamy, Janel Sagart, Jon Martin. - Erin Kennett will being contacting all prospective students, hopeful we will hit the number 32 for incoming - DAA students to record studio recitals at the request of the studio student, Can we include the ensemble concerts? 4.5 Graduate Studies Report (Black) - 7 applications, 3 short listed Morgan Krause, DAA and Elias Guadarrama Hernandez, trumpet (pending acceptance ESL course) - GPA based funding 3.0 no funding, 3.3, 3.5, 3.8 (New SGS funding model) - Grad assistantship program the FFA matching is not guaranteed going forward. Not sure what the funding will be for next year. - Brochures: content has been sent out for the MMus committee to review - SGS calendar has been discussed and changes are coming - Discussed the issue of international applications, Live Audition preference with the option of a high quality, unedited DVD recording, or Skype audition. Interview required with a high proficiency of the English language. Placement test to take place in September when the students arrive. 4.6 Concert Committee Report (Sanden/Davies/Stringer/Oye) - Tentative schedule for o 2 CASA concerts o September 13 Saxophone quartet CASA o October 18 French Fried Brass CASA o November 16 SUNDAY 8pm Maraca 2(pending AFA approval) o Sarah Gieck and Friends Jan 10 o Feb 28 (pending) Downtown Abbey (singers, violin, piano, costumed) o SoWeCa Festival partnership (dates pending) - Celebration of the newly renovated Recital Hall - Free concert (buy a seat campaign) Faculty performance. - Music at Noon, half a dozen tentatively scheduled. We need to have it all nailed down by June 15. ($600 for Visiting Artist) - Concert Attendance FAF Series : o September: 75 o December: 113 Scholarship concert o January: 158 (Glen Montgomery farewell concert) o February: 66 o March: 31 o NET PROFIT: $-1671

4 4.7 Music Theory Curriculum Committee Update (Richards) - Looking into a new Theory textbook going forward: - Current textbook the students are not getting to harmony soon enough. o Not able to get to extensive harmony by the end of Theory four o Retaining some aspects of the current text that work well while integrating a new text. o Chapter 12 will now be taught in Theory I half way through the first semester 4.8 Recital Hall Renovation Update (Morris) - Currently pricing out all the materials and are right on budget or slightly over budget. - Working with Sharp's AV in Calgary for all the AV materials (drop down projector and CRESTRON station) - Reworking the walls for better acoustics in the space, causing issues the stage doors cause of fire code. Need an updated drawing from the arch. 4.9 FFA Dean, Associate Dean, Finance Officer, Visiting Artist Coordinator. DEAN - Curriculum: we have three degree streams in fine arts (BMus/BA - music/bfa Multidisciplinary) o How can we take over the BA degree? Would like to create more BA (Fine Arts) degree streams BA art history. Currently working with Arts and Science, very interested in working with us. o BFA Multidisciplinary it is difficult for the students to marry the areas together (Art-Theatre Design), variable amount of options, discussions with each of the departments will begin to happen soon. o Control over the BA curriculum and advising will move to FFA. - Enrollments slightly up from last year Music is down (DAA is down substantially from last year) o 23 DAA applicants at this time down from 40 last year o Erin Kennett has put together a triage plan, personally calling every interest person in DAA FINANCIAL OFFICER - Budget has changed to a centralized system (taken over all positions fulltime and continuing) - Term appointments are still out of the FFA budget - Operating money we get is now a percentage of the continuing salaries (7%) is now our operating budget. (materials/supplies/catering/extras) We came out ahead of where we have been in the past. - No longer have to pay for telephones, no longer have to cover sick leave coverage. - Any new positions need to be vetted through the VP office, Dean must put in a request to the VP's office including rationale, on an annual basis (enrollments will be key to obtain new positions) - $1200/catering (700 general catering/500 meet and greet), - $3000 grad student support/research (ARE fund grad students can apply once a year (travel)), - Centralized FFA recruitment/retention $5000 fund (eg. USB bracelets), write up a proposal and submit to the Dean's office for review and approval. - Please send Ensemble/Visiting Artist budgets could be sent to Margot before they are provided at the department level in August/September - Applications for new monies: o Penny Building Screening Room $50000 o Internship Coordinator for FFA (9-month term position) part time position with travel monies. (Target interior BC, Alberta, Sask) - Jacques Theberge has been hired as a permanent casual position for the Fine Arts. - Naomi Sato is continuing 10 month term permanent as Visiting Artist Coordinator. VISITING ARTIST COORDINATOR - Thank you to everyone for your patience, and being organized as a department. - Assisted with 17 Visiting Artist for the Department of Music (5 cancellations) - Updated all of the online event information, posters, newspaper articles (PR) - Whoever is taking the lead on a visiting artist please be in communication with Naomi as soon as possible. o o o o All visiting artists are now brought in under outside contracts, which means all visiting artist get one cheque for all their time (honorarium/travel/lodging/perdium) Please let Naomi know as soon as possible when bringing in a visiting artist so she can help assist through the whole process If you have any questions about bringing in Visiting Artist please stop by Naomi's office Please fill out the Visiting Artist Submission form when bringing an Artist in, the form can be found on the FFA resources page

Items for Discussion and Action 5.1 Renewal of adjunct professors for (Oye) - MOTION: to approve the adjunct professors positions (4 members of Musaeus and Howard Cable) for another 2 year term, ending on June 30, R. Boon (B. Black/seconded) 5.2 Piano faculty member position (Visentin) - MOTION: we complete the re-establishment of position form to replace the piano faculty position from Glen Montgomery's retirement. P. Visentin (R. Boon/seconded) Unanimous 5.3 Recruitment and Special Events proposals John Greer residency (Hendsbee) o MOTION to approve the John Greer to come as a guest artist resident for 7 days as proposed with a request from Special Events/Recruitment fund of $2500. B. Hendsbee (B. Hansen/seconded) Jazz Ensemble tour (Davies) o MOTION to approve $6000 from the Special Events/Recruitment fund for Jazz Band tour to New Orleans. J. Davies (B. Hansen/seconded) If funds are unused another request may come later. 5.4 Curriculum (Dobbie) Prerequisites for MUSI3612 o Change the prerequisite for MUSI3612 to (Registrars miscommunication) MUSI3781 Opera Workshop as elective for BMus/B.Ed o MOTION: to add MUSI3781 be added to the list of electives for B.Mus/B.Ed program. J. Dobbie (P. Visentin/seconded) Vox Musica audition (Klassen) o MOTION: to add to the requirement for Vox Musica " Note: Attendance requirement. Enrolled students will be required to demonstrate pitch. Inability to match pitch may restrict access to the choir. Rec Services information will need to be updated. B. Hansen (B. Hendsbee/seconded) Music Major (Oye) o Does the "Music Major" still work for the distinction of the major or should it be something else? o Applied Study instead of Music Major? *Table to August retreat

6 5.4.5 MMus items (Black) o MOTION: to change the calendar description to "a minimum of 12 credit hours chosen from the following list and approval of the supervisory committee" List to be confirmed at the August Retreat. B. Black (R. Boon/seconded) o MOTION: to remove the ORAL exam from the final thesis defense/oral exam. B. Black (P. Sanden/seconded) o MOTION: to change the contact hours for the studio lesson to 1 hour from 2 hours. (Graduate studio 1-2 and recital) B. Black (B. Hendsbee/seconded) o MOTION: to approve wording additions to the MMus application process for potential students. o preference will be given to students who can attend a Live Audition o video with high quality audio recording, unedited (part of the portfolio submission) o candidates should be prepared to talk about the area they want to study related to their thesis o placement test will take place in September, not immediately following the interview. Unsuccessful candidates will have to take a makeup course. B. Black (B. Hendsbee/seconded) *Suggestion to provide any additional supporting materials *Will be brought back at the AUGUST retreat 5.5 Review of music brochure content (Oye) - MOTION to approve the wording of the B.Mus section of the FFA Recruitment Brochure as edited in the Music Retreat. Sanden/seconded) 5.6 Teaching Issues Writing skills (English Composition, Classical Logic, & GLER) (Burleigh) o MOTION that Writing 1000 be permitted as a GLER course that may be counted in any of the three GLER categories. P. Visentin (P. Sanden/seconded) o Recommend the DEAN bring this to DEAN's COUNCIL, then GENERAL FACULTY COUNCIL and then the BOARD. Unanimously Poor student attendance during peak performance times (Sanden) o Impress upon the students that missing class for rehearsal, papers, etc. is not a good excuse. o Attendance policy? As in the Theory classes. Participation Grade? Fall library tours (Sanden) o Library tour requirement for the students, how do we implement this? 9 Proposal- Special Event/ Recruitment Fund Guest Artist Residency John Greer (tentative dates: Wed. Nov. 19- Wed. Nov.28, 2014) PROPOSAL AMOUNT: $ I have been conversation with John Greer (collaborative pianist, composer, coach, conductor) and hope to bring John to U of L for a 7 day Guest Artist Residency. Bio information: He is multi faceted and would be able to work with our students in several areas: - Collaborative Piano- Masterclass and team coachings - Opera Workshop- coaching for March 16 Concert, role preparation for Dido and Aeneas - Studio coaching (Voice/ Piano) - Voice- Masterclass - Composition- Masterclass - Conducting- meet with conducting class - Graduate student- Megan Wittig is centering her thesis on Greer s song cycle The Red Red Heart. She would be able to work intensively with him during this time. - Noon Hour Recital- featuring several of our faculty/advanced students performing several of Greer's compositions, with John Greer playing. 10 Music Department (New FFA Brochure) 3 Programs (Music Studio Digital Audio Arts Music/Education) With a classical music (an art music?) orientation, we offer programs designed for the specific needs and interests of students, whether it is performance, composition, or digital audio arts. All the music programs are based on core courses that provide a thorough education in all aspects of music, with a foundation built on classical theory, history and musicianship skills for the first two years. Although the program is broad in nature, the curriculum is designed to enable senior students to concentrate on those areas of music that interest them most. OR Students in years three and four can access a broad palate of course offerings to suit their professional and academic aspirations. 12 Digital Audio Arts Bachelor of Music - Digital Audio Arts The only degree program of its kind in Western Canada, Digital Audio Arts combines academic courses with hands-on experiences in audio engineering and other sonic arts, providing the knowledge and skills you need to succeed. Building on a classical music base, you explore a comprehensive approach to music, technology, and research. You develop strong musical skills while exploring a variety of audio-related technologies. Study topics such as music production, sound engineering, acoustics, audio synthesis, electronics for music applications, composing for film and games, and interactive music. Interdepartmental collaborative opportunities with music, new media, art, and drama provide real world production experiences. You receive one-on-one instruction from high-calibre performing musicians, attend numerous guest master classes and have performance opportunities throughout the year. Participate in one or more of our ensembles and chamber music groups. Individual practice studios provide the freedom for you to practice on campus, with 24 hour access. 14 Music Education Bachelor of Music/Bachelor of Education (combined degrees) In this performance-intensive learning experience, you receive one-on-one instruction from high-calibre performing musicians, attend numerous guest master classes and have performance opportunities throughout the year. All music students share common courses in music history, music theory and musicianship skills. Junior and graduation recitals showcase your development and accomplishments as growing musician. Participate in one or more of our ensembles and chamber music groups. Individual practice studios provide the freedom for you to practice on campus, with 24 hour access. Develop as a performing musician and a music specialist in the contemporary classroom. IF you attend full-time, the combined degrees take five years to complete and you graduate with two degrees. Your first degree (BMus) covers the subject you want to teach, while at the heart of the education degree (BEd) are three professional semesters, which provide hands-on experience through supervised placements in schools.
