GCC is Going Mobile read about the ways in which GCC has gone mobile + CIO s Blog During the summer the GCC Library and the Office of Technology partnered together to enable technology for our learning community like never before! Under this combined effort, the number of computers in the Library has almost quadrupled, but because we live in a world that rides atop technology, the newly expanded open computer lab still meets capacity on a regular basis. As a result, we ve made the decision to keep the IC 438 Open Computer Lab open indefinitely to help meet our students computing and printing needs (see the New Library Open Computer Lab article on page 3 for more exciting details). As part of the GCC Library and the Office of Technology partnership, Open Computer Lab technicians are working in the Library to assist students with their computing, printing and mobile device needs. Your average student has 1 to 2 mobile devices on them at any given time so we ve also added additional wireless coverage to meet their need for mobile connectivity. It s almost as common for students to do their homework on their phone or tablet as it is for them to sit down at a computer or laptop. Gloucester County College is aware of this trend and we ve been hard at work to make sure we keep up with the new demand for mobile access to our online content. Blackboard s Mobile Learn App In case you weren t aware, there is an app available that allows users to access GCC s elearning system on-the-go. Mobile Learn (created, distributed, and supported by Blackboard) is available on all ios and Android devices. The download for the app is free, however the user will have to pay a small fee for a one-year or lifetime subscription in order to connect to GCC s instance of elearning. While Mobile Learn will allow users to access their course and the content it contains (including discussion boards, assignments, and tests), elearning Support recommends that all critical interactions, such as taking tests or submitting assignments, are done on a desktop or laptop with a full browser to avoid issues. Faculty that are interested in developing mobile friendly tests, you should see a new option when you deploy an exam in your course that will allow you to create a Mobile Compatible Test. 2 . GCC is Going Mobile (continuted from page 1) Get Your GCC on Your Phone or Tablet If you re always on the go, it is probably very important to you to be able to access your from your phone. The Office of Technology has stepby-step guides to help you set up your mobile device so that your GCC is accessible anytime, anywhere. Just visit the Campus Technology page, found at and then click the GCC link on the left side of the page. There you will find helpful guides to set up your GCC on your Apple ios 7 device, Android phone and/or tablet. This will also allow you to add your GCC contacts and calendar to your phone so you can manage and view your appointments while you are not at a computer or logged into GCC Webmail. If you have any questions or need additional help adding your GCC to your mobile device, please contact Technical Support at ts@gccnj.edu or , option 1. GCC s Mobile Website & its Redesign The Office of Technology and the College Relations, Communications and Marketing department (formerly known as Public Relations) are working together in a collaborative effort to redesign and enhance the GCC Website ( The new website will combine the SharePoint 2013 platform with the Twitter Bootstrap framework in order to provide improved features and functionality. The Twitter Bootstrap framework will provide the website with Fluid Grid and Responsive Design capabilities, allowing the website to re-size and transform based upon the user s desktop or mobile device in order to provide an optimal viewing experience. Developed by Ethan Marcotte in 2010, Responsive Design relies on HTML5 and CSS3 standards allowing websites to better adapt as smart phones and tablets change in shape, size and resolution in the years to come. According to ComScore, mobile users are expected to surpass desktop users in 2014, which makes it important to develop the new website to meet the growing demand. Responsive Web Design has been successfully implemented by other colleges and universities such as the University of Notre Dame, UC San Diego and Drexel University. HOT TOPIC In addition, the new website will be built on the SharePoint 2013 platform, providing the College with improved web content management capabilities and features. For example, authorized users will be able to update web pages within their web browser and then send the changes to the appropriate administrators for review and approval. Additional features include, but are not limited to, improved search capabilities, document management, workflows and possible mobile device enhancements. The new website is expected to be launched in Summer The CETL is Here to Help You! learn more about the Center for Excellence in Teaching and Learning written by Irena Skot. GCC Alert mass notification system keeps gcc community up-to-date with important information written by David Comfort GCC Alert has evolved over the last few years in order to provide better, timelier notifications to the entire campus. The latest change was implemented in October 2013 as campus users are now asked on an annual basis to provide personal contact preferences and up-to-date contact information after logging into the GCC Portal. Several years ago GCC campus users were asked to sign up at Gloucester Alert, a system administered by the Gloucester County Office of Emergency Management, in order to receive phone, text and notifications. However, the sign-up rate was low and it became increasingly difficult to communicate with the entire campus. This also made it difficult to comply with federal regulations, such as the Jeanne Clery Act, which requires all institutions to provide timely warnings in a manner likely to reach all members of the campus community. Therefore, in 2012 GCC moved to a new communications platform (Blackboard Connect) that integrated with the College s Banner system, allowing all currently registered students as well as faculty and staff to be transferred over seamlessly on a regular basis. While this helped to ensure that all current campus users were in the new communications system, it did not guarantee that all contact information for campus users was up-to-date. As a result, the recent changes to the GCC Portal allow users to update their contact information after logging into the GCC Portal. Similar to the Portal Acceptable Use Policy (AUP), users will be asked to update their contact information once per year. Also, users are asked to update their Outreach Notification preferences, giving them the opportunity to opt-in or opt-out of phone, text or alerts. Regardless, the campus community can still expect Emergency Notifications, such as being informed of school closings. (continued on page 3) The Center for Excellence in Teaching and Learning has expanded to include training of the entire GCC community. The CETL is now open to all faculty and staff for assistance with web-enhanced/hybrid/online courses, elearning, PowerPoint presentations, and much more! The CETL staff consists of talented instructors from the following departments: Art, Biology, English, Philosophy, and Psychology. GCC Alert (continued from page 2) It s also important to note that campus users do not need to wait a year to change their Outreach Notification preferences or update their Emergency Contact information. Users can log into the GCC Portal and use Self-Serv to view their current GCC Alert information and update it at any time. More information on the GCC Alert can be found at While the new communications system and policies will continue to evolve, this is just another step towards increasing better communication across the campus community.. New Library Open Computer Lab the new library renovation means new furniture and 120 computers written by Gary Kuehnapfel Have you been to the library since it s been renovated? If you have you ve probably noticed the new library open computer lab. This new open computer lab consists of more than 120 computers for students and Gloucester County residents to use, and is the largest computer lab on campus. The computers in the new lab consist of laptops and desktops and also include four computers set aside for CAD and Computer Graphic Art students. Along with new furniture and ergonomic adjustable monitor arms, the library computer lab offers three new multifunction printers offering color and black and white printing. These new printers are also capable of scanning documents to a user s or USB thumb drive and they also serve as copiers, offering color or black and white copies. In addition to the Library Open Computer Lab the 438 Open Computer Lab located in Instructional Center Room 438 remains open to meet student capacity. The 438 Open Computer Lab offers two computers for CAD and Computer Graphic Art students and two printers for black and white printing. You can find the Library Open Computer Lab s hours listed at the bottom of the first page of this newsletter. Empowering Departments with SharePoint Employee Intranet find out more about what SharePoint can do for your department written by David Comfort In addition to utilizing SharePoint 2013 for the new website design (see GCC is Going Mobile ), it is also being used to create an Employee Intranet that can give departments and divisions new management, & collaboration capabilities. While the Employee Intranet may be considered as an internal website used by employees, it is much more. A department could have their own SharePoint site on the Employee Intranet, which will be managed by each department. This also includes managing what users can and can t see within the site. For example, part of the site might only be viewable by department employees (similar to the S-drive) while another part of the site could be viewable by some or all employees. This permissions-based concept allows each department to have greater control and flexibility with the information that is shared internally on campus. A SharePoint site also gives the department new document management capabilities. For example, a document version history can be kept for documents in the site, allowing users to revert back to an older version of the document when needed. It also allows the department to see what changes were made, by whom and when during the process. One of the most popular benefits of a SharePoint site is the search capabilities. When a user searches for a document, the search results page provides document preview capabilities and filters to assist with the search process. Of course, only documents that users have permission to view would be displayed within the results, allowing for more secure search experience. If a department has committees, each committee could be given their own site within the department s site. This provides each committee with their very own internal website and workspace, which could be managed by members of the committee. Other SharePoint site features include calendars, discussion boards, blogs, news feeds, project sites, task management, wikis and more. elearning Faculty Lounge Have you visited the elearning Faculty Lounge? The Faculty Lounge is the place where elearning Support staff posts important information about anything happening with GCC s elearning system. If there are Building Block updates that will affect you or your students, you can read about them in the Faculty Lounge. You can also interact with other faculty members and discuss best practices or your experience using the various tools available in the system. To visit the Faculty Lounge, just log into the GCC Portal, click the elearning icon, and look for the elearning Faculty Lounge in your course list. While it may not be necessary for departments to utilize every feature SharePoint has to offer, it s good to know that they are available and can be added as needed. New Faces in IT meet gcc s new technicians You have probably already noticed some new faces in the hallways of Gloucester County College, but we wanted to make sure to give you a proper introduction to two of our new student-workers, Justin Weaver and Zachary France. Look to our next issue for information on our other new hires. Justin Weaver Technical Support Justin enrolled at GCC in 2011 as a Computer Graphics art major. His interests include 3D design, photography, music, and traditional arts. Justin works for Technical Support, and as a technician there he provides computer technical support for all staff and faculty at the college. Plans for further education include attending a local four year college to achieve a bachelor s degree in Computer Graphic Arts. Zach France Instructional Technology Zach France is an Instructional Technology Technician and has been with the Office of Technology since October He assists in the upkeep of SMART Classroom technology along with technology requests. He is currently a student worker at Gloucester County College and is working toward an Associate s Degree in Computer Science.. Important Information about Camtasia Relay need to delete videos? want to make more complex presentations? Camtasia Relay has become an incredibly popular tool for enhancing online, hybrid, and face-to-face elearning courses and we are very proud to offer this resource to the GCC community. We want to remind everyone that if you have any videos you would like us to delete from the servers, whether it s an outdated video you no longer need or a scrap video you accidentally uploaded, please let us know! We will be happy to take care of it for you, and it should clean up your video lists and make it easier for you to stay organized. To have a video of yours deleted, please login to the GCC Portal, then visit the Technical Support channel of the Faculty Tab. There you will find a form called Camtasia Presentation Deletion Form that you will need to fill out. Once you submit the form, we will get your video deleted as soon as possible. Additionally, if you are interested in making videos that are more complex, Camtasia Studio is what you need. While Camtasia Relay will be more than adequate for the large majority of our instructors, a few of you are probably looking to do more. If this sounds like something you d like to check out, please contact us.
