1 PAKISTAN TELEVISION CORPORATION LIMITED KARACHI CENTRE HIRING OF VENUE/TECHNICAL FACILITIES/MISCELLENEOUS ITEMS FOR RAMZAN-UL-MUBARAK 2018 LIVE TRANSMISSION S.No. Description of items/work Qty/Days 1. VENUE/MARQUEE Air Conditioned Hall/Marquee, status of 05 Star Hotel having covered Required area of around 140x105 i.e 14,700 sq.ft with water proof covered for 45 days arrangements. There should be no issues of General and Traffic Sound. Standby Generators with fuel for lighting of Hall/Marquee atleast 16hrs daily. Separate prayer area for the guests is essential. In addition separate washrooms for Ladies & Gents, 2 A/C Makeup rooms with attached bath are deemed necessary. Services of one Electrician, one sweeper and two watchmen for round the clock are required. To facilitate the communication in between celebrities and management, Wifi system, CCTV monitoring units also be established. There should exist waiting area and 3 rooms for Gift Items. One room for Technical staff to be used as their rest place. For air conditioning purpose, Dual System Infinity Chiller having capacity of 12 tons with 06 units. To prepare the Set, workshop at venue is the basic requirement. For the safety of the event, Fire Fighting Equipment s & First Aid arrangements are to be considered on priority. Providing of crockery and cutlery for Executive/VIPs and Crew will be the responsibility of the hotel. 2. SET FABRICATION MATERIAL Set of about 75x80 i.e 6000 sq. ft. all three sides covered and fourth side for audience sitting setup, with material on hiring basis consisting of Wood, Iron Frame, Cloth, Foam, Jamblone / Thermopol, Panaflex, Flex with props. A Kitchen portion will be the separate entity with full accessories including 16 cu. ft. fridge, microwave, burning cylinders, cutlery, crockery and fittings etc. There should be the arrangements of Five Counters/Rostrum, low height benches/chairs, Sofa sets for 8 persons, Qawwali area, partly step wise audience sitting setup for approx. 250 persons. Concerned designer / party have vast experience of set designing and erection of Mega live programmes, Shows, VIP programmes at National Level. Must have a proven track record of Set Design and its Erection of more than 20 years. Details of Mega project / sets of concerned designer / firm must be submitted with Tender Documents. A rough sketch of set has been included in Tender Documents for reference. 3. SEHRI & IFTAAR BOXES Sehri Boxes / Buffet arrangements kindly be made at Venue containing sufficient food items. Rates per person is to be quoted in quotation & bill will be claimed as per actual. Iftaar Boxes / Buffet arrangements kindly be made at Venue containing sufficient food items. Details of Mega project of concerned Lighting professionals must be submitted with Tender Documents. 4.3 SOUND 35 days Hiring of Professional Broadcast Quality Audio Equipment with redundancy as per detail under mentioned:- Professional Broadcast Quality Sound System including, Digital Audio Mixer, Audio Processing System, Microphones, Microphone Stands (small & large), Public Monitoring, Audio Processing System, Connecting Cables, complete system in all respects including all accessories with professional operators, daily basis consumption of battery cells cost & all operating expenses for Live programme. No. P\EPM\PS\2018 Dated: PTVC invites Technical pre-qualification & Price tender simultaneously as per rule 36-b provided in PPRA Rules 2004 (in local currency) from well reputed registered Hotel/Firms/Companies for the following exclusive separate demands/jobs and services on Hiring Basis for the LIVE TRANSMISSION of RAMZAN-UL-MUBARAK 2018 through single stage - two envelope procedure: 1. Venue/Marquee 2. Set Fabrication Material and erection + dismantlelation 3. Sehri & Iftaar Boxes 4. Technical Facilities 5. Transport Facilities The proposal must have two envelops with PTV`s reference No. EPM\PS\2018. Envelope One (1) Technical Pre-Qualification Documents: Clearly mention the proposed technical solution & proposal with company profile. NTN/Sales Tax. Registration No. & Clients List etc. as required by PTVC. Envelope Two (2) Bid Price or Commercial Offer Details: Your most competitive, non-negotiable single commercial offer of each item for the supply of subjected demand in compliance with PTV`s specifications Procedure - Initially Technical Prequalification Documents will be studied and contractor will be technically pre-qualified on the basis of submitted information. Later on specified announced date, Bid Price or Commercial Offers will be opened in presence of pre-qualified firms. Bid Price or Commercial Offers from non-pre-qualified firms will not be opened and hence will be returned sealed. Earnest 2% of the total bid price (refundable) must be accompanied with the quotation in shape of demand draft/pay order in the name of Pakistan Television Corporation Limited. Cross cheques will not be acceptable. Quotations without earnest money will not be entertained. 3. Earnest 2% of the total bid price will be forfeited if the contract awarded is remained unexecuted by the contractor. In this case, the job will be got completed by PTVC at contractor`s risk & cost. 4. Successful contractor(s) will be required to complete the job within the given time frame and up to the desired specifications and on terms & condition mentioned in tender documents % advance payment in three installments to the successful contractor in each category will be made. However balance payment will be released upon satisfactory performance later on. 6. Job can be awarded to separate bidders depending upon the lowest quoted prices and according to the standard quality specified in each category of the bid. 7. Tenders received after the due date/time will not be entertained. 10. In case of any dispute, the matter shall be resolved through General Manager PTV- Centre Karachi who will act as arbitrator in case of any dispute and his decision will be final and unchallengeable. 11. PTV reserves the right to reject all or any of the bids/proposal(s) as per Clause 33 of PPRA Rule Certificate from the concerned parties declaring non defaulter within Pakistan with any government/public sector entity. 13.
