4 Books on Demand: Criteria & Workflow Criteria: E-Books will be purchased by default if available Books tagged as lost in the UF Library catalog will be purchased not borrowed $200 maximum price per book; $300 maximum price per STEM book No theses, dissertations, conference proceedings, or technical reports ILL requests match BOD criteria ILL staff place order through Oasis or Alibris for Libraries Items are shipped directly to ILL; ILL sends packing slips to Acquisitions Acquisitions verifies receipt of materials and pays invoice Patrons are notified items are available; patrons check out items from Library West circulation Patrons return items; items are routed to Cataloging

7 Course Reserves: Criteria & Workflow Criteria: E-Books will be purchased by default if available $200 maximum price per book; $300 maximum price per STEM book No theses, dissertations, conference proceedings, or technical reports Course Reserves purchasing will extend to video discs, streaming video, and textbooks There will be a limit of two copies of any title per course and a limit of $500 per course each semester UF Faculty places purchase requests in ARES Access support staff match requests to criteria Matching requests are forwarded to Acquisitions staff to place orders Acquisitions staff place orders with appropriate vendor Rush shipped as needed Items arrive and invoices are paid in Acquisitions Items are routed to Cataloging for rush processing; then routed to Access Support/Branches

11 Books on Demand & Course Reserves PDAs Take-Aways: Materials received from both programs are reviewed periodically/annually by staff in Acquisitions, ILL/CR, Selectors, and the Assoc. Dean of SR&RS and criteria/workflow procedures are revised as needed Both programs support users in the Humanities and Social Sciences much more than STEM users; however, the past year showed a rise of materials received for Course Reserves for the sciences Books on Demand is funded for the 7 th year, Fiscal Year , and viewed as a successful program Course Reserves is funded for the 4 th year, Fiscal Year , and viewed as a successful program Notable thought (paraphrased): from a Selector at UF explaining his support for PDAs I don t have the budget to buy everything, and can t possibly always know what library patrons are going to want to use
12 UF-FSU Shared E-Books PDA: Tech Specs MyiLibrary matches e-book records to profile and dedupes them based on UF/FSU holdings Once a month FLVC simultaneously loads full e-book records into both libraries catalogs Users seamlessly view and access e-books; three uses of an e-book by any combo of UF-FSU patrons triggers a purchase E-Book titles included in the PDA are identified in OASIS and any firm orders are blocked Acquisitions works with Ingram Reps and Selectors to implement changes to Approval/Slip plans and ordering procedures to accommodate the PDA After purchases Ingram resends bibliographic records to FLVC that update holdings in both library catalogs Each month Ingram deducts purchased titles from deposit account and sends statement/statistics
