3 Preface The South Asia Union Catalogue (SAUC) is both an historical bibliography and a union catalogue. The main objective is creating metadata for the books and periodicals published in south Asia from 1556 through the present. The source for describing books and periodicals are based on the various printed bibliographies published by government agencies and individuals. The printed bibliographies have used different layouts to describe the books and periodicals. There was no uniform pattern followed. Because of this complexity, the need for the cataloguing manual has been felt by the cataloguers in south Asia. In 1867 the Press and Registration of Books Act was enacted. It was a regulatory law which enabled Government to regulate printing presses and newspapers by a system of registration and to preserve copies of books and other matter printed in India. The details about the books registered under this act were published by the government in all presidencies in British India. The guidelines are based on the following standards:- 1. Anglo-American Cataloguing Rules, second edition, 2004 Revision 2. MARC 21 format for bibliographic data 3. Bibliographic formats and standards This manual will describe all the possible fields used for the SAUC work. Attempts have been made to elaborate the MARC fields with examples for the easy understanding. The outline of the manual 1. Definition 2. Table showing the indicators and subfields 3. Description about the indicators, wherever applied 4. Description about the subfields with examples 5. Punctuations 6. Proof reading note 7. AACR rules 8. Guidelines for retrospective conversion Some of the fields and subfields are repeated in the bibliographic records. It will be marked as R in the manual. The non-repeatable fields and subfields are marked as NR. The subfield delimiter used in the manual is $. The blank space is marked as #

4 Leader The leader is the first field in a bibliographic record. It is fixed in length at 24 characters. The data elements contain numbers and coded values. The leader has no indicators and subfield codes. The data elements are positionally defined. It provides information for the processing of the record Record length The computer-generated, five-character number equal to the length of the entire record, including itself and the record terminator. The number is right justified and unused positions contain zeros. 05 Record status Rec stat A one-character alphabetic code that indicates the relationship of the record. n - New Code n indicates that the record is a newly input record. 06 Type of record Type One-character alphabetic code used to define the characteristics and components of the record a - Language material Code a indicates that the content of the record is for non-manuscript language material. e - Cartographic material Used for non-manuscript cartographic material. Includes maps, atlases, globes, digital maps, and other cartographic items. t - Manuscript language material Used for manuscript language material. This category is applied to items for language material in handwriting, typescript, or computer printout including printed materials completed by hand or by keyboard. Examples include marked or corrected galley and page proofs, manuscript books, legal papers, and unpublished theses and dissertations. 07 Bibliographic level BLvl A one-character alphabetic code indicating the bibliographic level of the record. m - Monograph An item is a monograph/book or multivolume monograph. 08 Type of control Ctrl # - No specific type Code # indicates that no type applies to the item being described. 09 Character coding scheme Identifies the character coding scheme used in the record. a - UCS/Unicode Code a indicates that the character coding in the record makes use of characters from Unicode. 4

5 10 Indicator count The computer-generated number 2 that indicates the number of character positions used for indicators in a variable data field. In MARC21, two character positions at the beginning of each variable data field are reserved for indicators; therefore, the indicator count is always Number of character positions used for indicators 11 Subfield code count The computer-generated number 2 that indicates the number of character positions used for each subfield code in a variable data field. In MARC21, a subfield code consists of a delimiter ($) and a lowercase alphabetic or numeric data element identifier; therefore, the subfield code count is always 2. In connexion, the subfield code delimiter is ǂ. 2 - Number of character positions used for a subfield code Base address of data The computer-generated, five-character numeric string that indicates the first character position of the first variable control field in a record. The number is right justified and each unused position contains a zero. 17 Encoding level ELvl A one-character code that indicates the fullness of the bibliographic information and/or content designation in the bibliographic record. # - Full level The most complete MARC record. The record's information is derived from a physical inspection of the item. Code blank is used by authorized national bibliographic agencies and libraries participating in PCC (BIBCO and CONSER). BIBCO and CONSER records will contain an authentication code in field 042. I - Full-level input by OCLC participants. A record that conforms to OCLC's level I input standard. The level I input standard represents full cataloging. K - Less-than-full input by OCLC participants A record that conforms to OCLC s level K input standard. The level K input standard represents less-than full cataloging. 18 Descriptive cataloging form Desc A one-character code that indicates characteristics of the descriptive data in the record. a - AACR 2 The descriptive portion of the record and the choice and form of entry of the access points are formulated according to the second edition of the Anglo- American Cataloguing Rules. The punctuation practices of ISBD apply. 19 Multipart resource record level Record level to which a resource pertains and any record dependencies. This information will facilitate processing the record in different situations. For example, the record may describe a set of items, or it may describe a part of a set. The part may only have a dependent title to be used for identification purposes thus requiring use of additional information to understand its context. # - Not specified or not applicable The distinction between record levels is not specified or not applicable for the type of resource. 5

7 008 Fixed-Length Data Elements LEADER This field contains 40 character positions (00-39) that provide coded information about the cataloguing record as a whole and about special bibliographic aspects of the item being cataloged. This field has no indicators or subfield codes. The data elements are positionally-defined. Character positions that are not defined contain a blank (#). All defined character positions must contain a defined code; for some field 008 positions are contain a blank. These coded data elements are potentially useful for retrieval and data management purposes Date entered on file Entered The computer-generated or manually entered, six-character numeric string that indicates the date the MARC record was created. The date is recorded in the pattern yymmdd. The date entered on file in 008/00-05 is never changed Type of date/publication status DtSt A one-character alphabetic code indicates the type of dates given in character positions 008/07-10 (Date 1) and 008/11-14 (Date 2). The data is derived from the field 260 subfield $c (Publication, Distribution, etc. (Imprint)). m - Multiple dates Code m indicates that 008/07-10 and 008/11-14 contain the range of years of publication of a multipart item. Generally, a specific code is used only if a significant part of the item is the type of material represented by the code. Information for these character positions is usually derived from other areas of the bibliographic record (e.g., field 245 (Title statement), 5XX (Note) fields, or 6XX (Subject added entry) fields). Up to four codes may be recorded, in alphabetical order. If fewer than four codes are assigned, the codes are left justified and unused positions contain blanks (#). If more than four codes are appropriate to an item, the four most significant are selected. If no codes are applicable, all positions contain blanks (####). Four fills characters ( ) are used when no attempt has been made to code these positions. # - No specified nature of contents Code # indicates that the nature of contents of an item is not specified. Used only if the filmography is substantial enough to be mentioned in the bibliographic record. This is work that is the result of scientific investigation or technical development, testing, or evaluation, presented in a form suitable for dissemination to the technical community. u - Standards/specifications Code u indicates that an item is an international, national or industry standard or a specification which gives a precise statement of a process or a service requirement. v - Legal cases and case notes Code v indicates that an item contains discussions, such as those in the case comments section of law school reviews, of particular legal cases that have been decided by, or that are pending before, courts or administrative agencies. w - Law reports and digests Code w indicates that an item contains the texts of decisions of courts or administrative agencies. The code is also used when a work consists of texts of digests of such decisions. y - Yearbooks Reference publication issued on an annual or less frequent basis that contains articles summarizing the accomplishments or events of a particular year within a specific discipline or area of endeavor. Annual reports, which are administrative overviews of an organization, are not coded here. z - Treaties Code z indicates that an item is a treaty or accord negotiated between two or more parties to settle a disagreement, establish a relationship, grant rights, etc. 2 - Offprints Publication that originally was published as an article in a monograph or a serial and that is also issued separately and independently. Includes preprints and postprints. 5 - Calendars Published systems of organizing days. These may be academic calendars or almanacs, calendars published by bodies, such as labor organizations, library associations, etc. 6 - Comics/graphic novels Instances of "sequential art" in which a story (whether fact or fiction) is told primarily through a set of images (often in the form of multiple "panels" per page) presented concurrently but meant to be "read" sequentially by the viewer. The accompanying narrative and/or dialog text, when it occurs, works integrally with the images to tell the story. 15

17 m - Multistate Code m indicates that the item is published or produced by or for a regional combination of jurisdictions at the state, provincial, territorial, etc. level. o - Government publication-level undetermined Code o indicates that the item is published or produced by or for a government body but that the jurisdictional level cannot be determined. s - State, provincial, territorial, dependent, etc. Code s indicates that the jurisdictional level of the government body is a state, province, territory, or other dependent jurisdiction. u - Unknown if item is government publication Code u indicates that whether or not the item is published or produced by or for a government agency is unknown. z - Other Code z indicates a type of government publication for which none of the other defined codes are appropriate. 29 Conference publication Conf A one-character numeric code indicates whether a work consists of the Precedeings, reports, or summaries of a conference. A fill character ( ) is used when no attempt has been made. The following types are considered to be conference publications: Precedeings, including collections or partial collections of papers (or of contributions, essays, etc., that are based upon papers) presented at a conference or meeting. A collection of preprints of conference papers. The following types of publications are not considered conference publications: Works composed of or based on a single paper Hearings of legislative bodies Courses given in a school 0 - Not a conference publication Code 0 indicates that an item is not a conference publication. 1 - Conference publication Code 1 indicates that an item is a conference publication $aPrecedeings of the third Seminar on Quantum Gravity Festschrift Fest A one-character numeric code indicates whether or not the work is a festschrift. A festschrift is defined as a complimentary or memorial publication usually in the form of a collection of essays, addresses, or biographical, bibliographic, scientific, or other contributions. It issued in honor of a person, an institution, or a society, on the occasion of an anniversary celebration. The title of the work may or may not use the word festschrift. Other indications that an item is a festschrift include phrases such as: papers in honor of, in memory of, commemorating, and their equivalents in foreign languages. A fill character ( ) is used when no attempt has been made. 17
