1 NExpress Users Group Minutes January 10, am Agenda items --Welcome new NExpress Members! Jim discussed that NEKLS has a Governor s appointee from each county who lives in our taxing area.! Jim welcomed Doniphan, Burlingame and Corning, who is coming into NExpress later this winter. Richmond will be live before Corning - they are cataloging now. There may be one or two public libraries and/or a few small academic libraries who may join in the future. We are now in maintenance and refinement mode. Not as much staff time will be dedicated to NExpress. (Unrelated, Scranton indicated they are interested in starting a library.) --Using the Transfers to Receive report to track lost in transit materials! Carolyn Little: A lot of the time the books that appear on the Transfers to Receive report tends to be on the shelf more often than not. Please check the shelves of the two libraries involved.! Practically, wait two weeks before contacting Carolyn that an item didn t arrive like expected.! NEKLS libraries were responsible for over 50% of the shipping on Kansas Library Express in August -- nearly 39,000 items -- not NExpress libraries. The NExpress group shared about 32,000 of them, still a large number. (Correction from Carolyn - 1/17/12)! Libraries with same starting letter, should also check their shelves -- pay attention to that library name - especially O and L libraries.! Jeanette at Osage City ran this report last week and many items were on her shelves. Why? Two suggested possibilities: the transfer wasn t completed or the item was scanned twice at the sending library. Scanning an item twice at the sending library can cause problems with transfers in Koha. Known Issue Post: Basehor: They have one person who runs the report weekly and does shelf-checks. Running this report on a regular basis helps find and fix these issues.! Please be sure that only your library s items are in the courier bag. Sometimes other library s items do show up in the courier bag.! Both the Holds Awaiting Pickup and Transfers to Receive reports should be looked at regularly to identify and clear up Transit issues.! Peggy: If you have checked with the other library about a missing in-transit, and they don t have it, send the item information to Carolyn, but also let her know if the item does show up.! Use the red bags as much as you can. Please let Carolyn know before you run out so she can send more to you. Please return extra big red bags or big tubs to Carolyn.

2 ! Please use the small bags for one or two items. Henry s processing center does better with a full, packed bag. Otherwise bags become damaged.! Original discussion Nov. 5, 2009: see Informational post: --Koha upgrades and enhancements! We have been on 3.6 platform for over a month, which includes a fix for 3 part name searching (paid for by NEKLS). Mickey demonstrated several Online Public Catalog (OPAC) features, such as the Next and Previous buttons - share with patrons.!! In Staff Client, you can do an ISBN search from Advanced Search.! Demonstrated an Advanced Search by call number ( Green dot example).! Video demo: Per-branch customized slips and notices - testing now, coming soon.! Phone number searching that we partially funded is in and we will get at our next upgrade.! Discussed the Refine your search - if your holdings happen to appear on that page, you can limit to your library. Need a way to limit by library through a hyperlink on Search results list. (amended - Liz changed a syspref that looks at the first 100 results instead of the first 20 - this improved the issue raised by Jerie (example of winter ) and should improve branch faceting). --Reports from collection development and cataloging committees! Heather and Sharon asked for input regarding Retail versus Rental (Library) edition of DVDs - the majority of libraries present purchase the Retail version (at Wal-mart on the Tuesday new releases are available). " We will investigate creating a GMD (format note) for the Retail v. Rental edition, also make sure the edition/notes in the Bib record are correctly labeled.! A few libraries have Blu-Ray DVDs, some people separate the discs, others leave both discs in the package. Best practices appear to be needed. " When you see code or access information in a DVD package for the Ultraviolet or

3 digital edition - REMOVE IT before circulating them - risk of lawsuit due to copyright.! Do not use the digital edition as a give-away, but you can use it within the library. " Heather announced a series of cataloging classes will be provided in March and April, please try to send your catalogers to one of them. All sessions will be 9:30-12:30.! March 20, Sabetha! March 22, Overbrook! March 27, Winchester! March 29, Ottawa! April 3, Basehor! April 5, Atchison! There is also a webinar for Beginning Cataloging on Thursday, January 12. It will be archived, if you cannot participate. Let Heather or Brenda know if you are interested. " When cataloging with Vendor records, please be aware that they include EVERY ISBN (regardless of the format of the item you have in hand) - alert Heather if you run across one of these Bib records or fix it yourself by deleting the non-matching ISBNs. Having all of those extra ISBNs lead to false-matches (LP ISBN on the Regular print record, for example). --NEKLS/NExpress Collection Development in demand programs " Kim Beets reminded everyone of the Playaway collection from the State Library of Kansas is available for ILL through Agent. The grant that bought this collection stipulates that it can only be requested through Agent. " Both the McNaughton and high-demand DVD programs will be continued in Suggestions can be sent to NExpress Help or Heather. " The Movie The Help currently has 100+ holds. View the Holds Ratio report from Circulation for additional high-demand items in NExpress. --Kansas EZ Library Updates " Sharon reported that the ebook-portion of Kansas EZ Library is 3M and that we are currently testing the App, which when launched will only be available initially on devices that use the ios and Android app stores (ipads, iphones, Android phones and tablets). Computer app in process of development, which would work with Nook, Sony and Kobo ereaders. " The 3M App appears to work well, but we will continue testing. Lianne Flax at the State Library is working to configure the App and is trying to get the Search feature up and running. " To register for 3M the patron will need a Kansas Library Card. Later on, this will change. NEKLS will purchase the ability to authenticate with NExpress card numbers. " eaudiobooks: OneClick Digital Media Manager software and Web site are both somewhat buggy. There have been reports of scrambled books and that books won t download.

4 ! Both of these are brand-new pieces of software, so they will buggy. Flip side means that we can offer suggestions to improve both.! NExpress patrons can access OneClick without a Kansas Library Card. They have to login to their NExpress account through the OPAC, then use the Kansas EZ Library link in the left sidebar to start the registration process.! Blog Post with instructions: The Topeka & Shawnee County Public Library still subscribes to OverDrive and patron s have heard rumors about purchasing a $79 card. We will investigate. All patrons of our System are entitled to a free library card at any NEKLS library, including Topeka.! Jim s recommends that NEKLS libraries budget a minimum of 1% of library material s budget formula for econtent purchasing. Libraries can choose to have their own purchasing account for these platforms.! Purchasing recommendations will be taken. We need to send out information about the decisions from the collection development committee, which meets later.! Do people get notifications from the two platforms when a hold becomes available? We need to test this. --Lost Items/Deleting options! Mickey asks that you please add notes here for what you ve been testing. What s in discussion, codifying this process.! Mickey will communicate with ByWater that the WITHDRAWN status needs improvements (ByWater ticket 2972). --Responsibility for lost items! Patron A Belongs to Library A Drives to Library B to checkout a Movie that belongs to Library C. Who s responsible when Patron A breaks it/loses it/doesn t bring it back? Understanding is that it s the transacting library s responsibility to get the material returned/replaced, follow up with this patron. Group agreed to this.! It is conceivable that a patron will receive overdue notices from multiple libraries, if they have transactions at multiple libraries.! This isn t the same situation as if your item is checked out to a patron at another library. If a patron walks into your door and checks out materials there, they become your patron for that transaction and your library is responsibility for what they checked out at your location.! The default Overdue report is by Transacting library.! Is there a report that can tell a library which books you have sent out to another library that are overdue at that library? Yes. Report: se=run%20this%20report! Use that report contact the LIBRARY, not the patron, to work on getting the overdue material returned or replaced.! Once a library has paid for an item, what do you do, in case the patron returns it in the

5 end?! This is a Local decision. Make a circ note on the patron record. (only circ staff can see this)! Public note or private note on the item in the item record ($x is non-public note; $z is public note). Although, internal notes can t be seen in the holdings table in the table client.! Could create a manual fine on the patron record. " Past discussion has said that it was the transacting library s responsibility.! Current practice: Current issue: Minutes and Policy discussions: # Aug. 19, 2009 Policy Committee recommendations # Nov. 16, 2010 discussion # May 18, 2011 discussion Other Business: " The NExpress Web site will have a section on policies and practices that are agreed to at meetings. " Link to LibGuides on NExpresslibrary.org will be added to and to nekls.org, as well. " Why does an item appear on your pick list and get filled by another library?! When people check in their dropbox from overnight or when items are checked in, the hold will be triggered immediately.! First scan, first trap - while the Holds Queue report is static and runs at 7 am, 1 pm and 4:30 pm. " NEKLS has been moved to the top of the Static Holds List (Preferred lender list, but for NExpress). Holds should come to us and the McNaughton leased collection First! " When Moving people in the holds queue:! Don t use the arrows to move patrons up the Holds Priority list without very good reason.! If you DO need to move a patron s hold, we want a note saying why you re moving someone.! To do this, you will have to Delete the hold and recreate it with the information for why the hold is being moved put in the Holds Note field, as well as the DATE when the hold was originally placed.
