1 TITLE: Approve Recommendation for Awarding the Bid for Band Instruments DATE: December 18, 2012 BID RECOMMENDATION BACKGROUND: We request that the MISD Board of Trustees approve the recommendations as made by the Purchasing Department, in conjunction with the Fine Arts Department, for awarding the bid for Band Instruments. Completed requests for Bid # were received prior to the bid closing at 2:00 p.m. on vember 28, CONSIDERATIONS: Attached is the tabulation from this bid opening. The purpose of this bid is to procure musical instruments for District campuses to be purchased on an as-needed basis. Consideration was given to the lowest price, product conformity, references and compliance with the bid requirements. A section of the bid, detailing Instrument Condition was a mandatory requirement to be awarded line items. s are responsible for ensuring delivery and installation of all musical instruments and equipment to be in good condition at the time of delivery and ready for use without any additional assembly or adjustment on the part of the District. In addition, a catalog discount is requested for the purchase of other items not listed on the tabulation. This contract will be effective January 1, 2013 and shall remain in effect through December 31, 2013, with an option to extend for three additional one-year periods if mutually agreed upon. RECOMMENDATION: The Purchasing Department, in conjunction with the Fine Arts Department, recommends that all individual items on the Band Instrument bid be awarded as indicated on the bid tabulation sheet and that all catalog discount bids, as submitted by the vendors, be accepted.
