1 Regular Meeting Minutes November 12, 2018 Call to Order President Bill Smiley called to order the regular meeting of the Chardon Square Association at 6:01pm on November 12, Roll Call Members present were: Bill Smiley, Kathy Dufur, Stephanie Talty, Becky Jernejcic, Dan Means, Thalia Hutter, CoCo Griffis, Melissa Ricco, Rebekah Havanchak, Jon Merz, Mariann Goodwin, Steve Yaney, Stacia Clawson, Mary Glauser, Pat Martin, Katy Farrell, Debra Farinacci, Catherine Wolcott, Tim Kempffer, and Barbara Ash Approval of Minutes With one correction to the October meeting minutes, Stephanie Talty made a motion to approve the revised minutes from the October 8, 2018 meeting. Pat Martin seconded the motion, and the motion carried. Old Business Nothing to report. Officer Reports Bill Smiley, President Bill Smiley thanked Kathy Dufur and all the volunteers who put up the Christmas decorations. It was noted that Shaina s business still needs decorated and that the hangers that were on the Perrico building need to be located as they were taken down during construction. Mariann Goodwin volunteered to find the hooks. Bill spoke with people in the City and at NEO lighting to see where we stand with the courthouse lighting issue. It was brought up that water got in the old boxes causing the outages. It was suggested that the boxes be replaced as it will be cheaper than just switching out the bulbs, and Bill needs to meet up with the City and lighting people by month s end to see how to proceed. Christmas trees will be delivered Wednesday, November 14 th as long as the weather cooperates. Alvord s will be moving to a new location: 401 South Street, Suite 2B

2 Stephanie Talty, Vice President Melissa Ricco, Secretary Kathy Dufur, Treasurer Kathy reported the income and expenses for October. Account balances are: $2, in checking, $34, in savings and $3, in the CD. With a commitment of $6, pledged for capital projects, we have an available balance of $34, Kathy also reported that a check for over $3,000 was returned to the CSA for the Wilbur House Foundation. Dan Means, Tech Support Dan reported that we currently have 708 followers on Twitter (up 14 from last month) and 2,820 followers on Facebook (up 8 from last month). Please give Dan information about upcoming events, sales, and promotions so that he can post them to social media. City Report Committee Reports Membership Stephanie Talty presented two new membership applications. Debra Farinacci of Destination Geauga Stephanie Talty made a motion to accept the application. Pat Martin seconded the motion, and the motion carried. Kevin and Keri Ash Window Cleaning Stephanie Talty made a motion to accept the application. Thalia Hutter seconded the motion, and the motion carried. Advertisement Mariann Goodwin introduced Debra Farinacci, new director of Destination Geauga. Debra presented an ad opportunity in the size of a full page for this year s holiday running. Due to not enough time to collaborate a Chardon Square Association ad, it was tabled for Mariann reported that the Good News will once again run our ad for Santa is Coming to Town.

3 Scholarship Bill Smiley reported that Heather Means will be stepping down from heading the Scholarship program. He asked if anyone would like to take over and Melissa Ricco said she would with regards to a new event she would like to propose. Halloween Coco Griffis reported that everything went wonderfully and she will need letterhead and envelopes to send out thank you notes. Christmas Decorations Bill Smiley reported that the City will be lighting the trees and Heritage House with the window candles. Tim Kempffer, our Santa for Home for the Holidays said he will decorate the Heritage House with large rugs and a fireplace back drop for photo opportunities. Letters to Santa Bill reported that the mail box will go up on the evening of the square lighting. Sylvia of Beans will spearhead the letter writing effort with dates to follow. Square Holiday Lighting The lighting of the square will be held on Thursday, November 29 th. Home for the Holidays Mary Glauser reported that the Home for the Holidays will span December 7 th -9 th. There will be different activities each day. She will be finalizing the schedule shortly. A committee meeting will be held on Tuesday, November 13 th. Small Business Saturday Mariann Goodwin reported that Salvation Army bells will be set up by the Heritage House and by Carriage Trade Boutique. Geauga Leadership group will be putting this on. Mary Glauser reported that 4 home businesses will set up in the Heritage House as noncompeting businesses to give them a sense of how the Square businesses operate to hopefully persuade them to go brick and mortar.

4 New Business Capital Projects: Main Street Tree Lights Melissa Ricco reported that she received the quote from Barry Frey of Hatzel & Buehler, Inc. for $33, to install low voltage lights in the 14 trees that line main street (west side of the square). Each strand of lights would include 50 LED soft white bulbs, and installation and labor would be included. The project would not carry out until the weather breaks next year. Melissa Ricco will meet with Dave Lelko to proceed with getting this information to the City to see what we need to do next. Freeway Signage Bingo Coco Griffis presented more information regarding the highway signs. There will be an annual fee of $2,200 for the two signs to be located at the exit in both directions, with a $1,000 one time sign manufacturing fee. Stephanie Talty made a motion to have Coco proceed with the application process for the Highway signs. Pat Martin seconded the motion, and the motion carried. Melissa Ricco proposed that we put on another event in the form of a Bingo night, in the early months of next year. Specifically on Saturday, January 26 th. Admission would be a food drive with items or monetary collections to go to the Geauga County Hunger Task Force/United Way. Proceeds collected from board and dauber, concession purchases would go towards the CSA Scholarship fund. Melissa made a motion to allocate $650 to put on the Bingo night in January. Rebekah Havanchak seconded the motion, and the motion carried. Miscellaneous Catherine Wolcott proposed that 4 additional concerts be added to the 2019 Farmers Market season. It would cost $2,000 out of pocket (that money generated from this year s market). She would like to add the concerts to the first week of June and the first weeks in September. It was decided that we would vote on this during December s meeting after Catherine speaks to Randy Sharpe. Adjournment Bill Smiley made a motion to adjourn the meeting. Melissa Ricco seconded the motion. The meeting was adjourned at 7:15 pm.
