Please understand that this manual has been designed t make yur time in the Cultural Centre as enjyable and prductive as pssible, and t allw the technical staff t best serve yur interests. It is nt intended t verwhelm r discurage yu, nly t help yu. 4 4 HOW TO MAKE SURE THAT YOU GET WHAT YOU WANT In a wrd...cmmunicatin! If yu dn't tell us what yu need, we cannt prvide it fr yu. Often this prblem ccurs because yu, the user, are nt aware f what the Chilliwack Cultural Centre has t ffer and hw t make the mst f it. The best way t tell us what yu need is face-t-face r, failing that, ver the telephne, r . It is ur experience that mst f the user's questins and cncerns can be addressed with a cnversatin between ur Technical Directr (TD) and yu. The mre we knw abut yur shw and its particular needs, the better able we will be t give yu specific cst estimates. These cnversatins are mst prductive when the persn wh speaks t us is the persn wh is respnsible fr the technical needs f the user grup. We STRONGLY recmmend that yu appint ONE persn t be ur technical cntact! This persn will be respnsible fr, amng ther things, signing the wrk rder each day yu are in the facility, s yur chice f a technical cntact will have a significant effect n the successful scheduling f yur time with us. Ineffective scheduling can lead t majr headaches and majr cst ver runs (please see Hw NOT t Schedule an Event in Sectin 1).
5 5 The Chilliwack Cultural Centre s Artistic & Managing Directr and Technical Directr must ensure the safety f the public and perfrmers, and as such have the final say n what the minimal staff levels are fr yur event. These staffing levels will depend n the number f perfrmers and the amunt (and type) f scenery and prperties n stage and in the wings, in additin t the amunt f theatrical equipment that yu use. It is imprtant that yu cntact the Technical Directr n later than tw weeks prir t yur first day in the Cultural Centre in rder t cnfirm yur technical needs. IT IS NEVER TOO EARLY TO CONTACT US TO DISCUSS YOUR REQUIREMENTS. (See the back cver f this manual fr cntact names and numbers.) It is als a gd idea t get in tuch with the Bx Office Manager as early as pssible (six weeks befre yur event is the ptimum time frame fr yur first cnsultatin) t arrange fr the ticketing f yur event. It is als imprtant t cntact the Marketing Manager a minimum f 6 weeks befre yur event in rder t prmte yur event n the Chilliwack Cultural Centre website, as well as thrugh s, newsletters, radi, and ther surces.
6 6 FIRST THINGS FIRST SECTION 1 The Chilliwack Cultural Centre huses tw perfrmance venues as well as an art gallery, meeting rms, lbby and public spaces, art and craft rms, administratin ffices, bx ffice, and the Chilliwack Academy f Music. The HUB Internatinal Theatre is a 575 seat prscenium arch theatre. The Rtary Hall Studi theatre is a flexible black bx space with frmal seating fr 160 persns r flexible seating fr up t 200 persns. These spaces are supprted with backstage amenities including dressing rms, green rm, and lading dck. WHERE IS THE CHILLIWACK CULTURAL CENTRE? The Centre is lcated at 9201 Crbuld Street in Chilliwack n the Nrth side f the Trans-Canada Highway. We are lcated clse t the Chilliwack General Hspital, Prspera Centre, the Chilliwack Curling Club, Evergreen Hall, the Landing Sprts Centre, and the Chilliwack Landing Leisure Centre HOW DO WE GET INTO THE BUILDING? Yur grup shuld enter thrugh the dr marked "Stage Dr" at the Sutheast crner f the building. Equipment, scenery, etc. shuld be laded int the building thrugh the lading dck, which the TD will direct yu t.
7 7 CAN WE COME IN EARLY TO DROP OFF SOME THINGS? Because f The Centre s heavy bking schedule it is nt pssible t get int The Centre, r t stre equipment r prps at The Centre prir t yur event. Als, nthing may be stred after yur event has finished unless yu make special arrangements with the TD. PAPERWORK It is imperative that yur technical cntact sign the wrk rder estimate as sn as yu enter the building n yur first day, befre wrk can begin. This wrk rder becmes part f yur bill and lists any additinal crew, services, r equipment required by yur grup. Yur technical cntact must als be available at the cnclusin f yur event t endrse the finalized wrk rder. Please keep in mind that the initial wrk rder is an estimate nly, and is based n the infrmatin the TD receives frm yu prir t yur event. The mre infrmatin we have befre yu enter the building, the mre accurate this initial wrk rder will be, and the mre we can assist yu in keeping yur csts dwn. If yu have questins abut yur bill please call the Centre's Rentals Manager. DON'T FORGET... It takes time t lad-in yur shw, hang and fcus the stage lights, set-up and check the sund, etc. This can be smething f a surprise t users wh expect t be able t set-up and begin t rehearse n the stage
8 8 immediately upn their arrival. Please keep this in mind when bking time in the Cultural Centre's Theatre and/r Studi and scheduling yur event cnsult with the TD t make sure that yu have left enugh time in yur schedule fr this tech time. (It is als imprtant t remember that any alteratins t the huse lighting r sund system must be restred i.e.: the Centre must be returned t the neutral state the user fund it in, after the event is ver.) It is usually mre cst effective t have the right number f peple fr a shrt time, than t have t few peple and have t pay vertime. The TD can help yu in budgeting time fr this. Remember, t, that it takes time t rehearse the technical prtin f yur shw, just as it takes time t rehearse the acting prtin f yur shw. The peratrs have t learn yur shw and their cues if they are t help yur prductin run smthly.
9 9 WE'RE HERE TO HELP We cannt stress enugh the value f cmmunicatin. Even if yu dn't knw exactly what yu need in the way f lights r sund and such, tell us what yu want t see happen fr yur event. That way, we can relate yur needs t ur facility, t d ur best t give yu exactly what yu are lking fr. Nt taking the time t prperly cmmunicate yur needs and schedule an effective balance f tech time and perfrmer time can lead t aggravatin n all sides. Permit us t illustrate this situatin mre clearly with a thespian fable we call... HOW NOT TO SCHEDULE AN EVENT It started ut as a fairly rdinary Saturday mrning. Jane De, a dance Instructr, has the Cultural Centre's Theatre bked fr 9:00 am, but has nt cntacted the TD, nr has she asked fr any crew, s the TD assumes that this is just an nstage rehearsal with wrk lights, and that the instructr des nt require any technical supprt r Guest Services Staff. Jane arrives at 9:00 am with 20 students in full cstume and several (stage) mthers as chapernes. Jane tells the TD that she wants the stage lit with a three clur wash (three grups f lights in three clurs) and t use the fllwspt, and then prceeds t rehearse a full-scale recital n stage. Sn, families are arriving in the lbby, cmplete with vide cameras, expecting t be let in t watch their children perfrm. The Guest Services Manager (wh just happened, by lucky chance, t be there waiting fr
10 10 a delivery) takes charge f the situatin unflding in the lbby she anxiusly asks the TD when, and if, peple shuld be let int the auditrium. The TD, hwever, has been unable t fcus any lights because it is far t dangerus t wrk with heavy lighting instruments ver the heads f the dance Instructr and her students while they cntinue t rehearse. The unsafe cnditins frce the TD t use the already available, incrrect lighting. Nw Jane hands the Technical Directr a CD with the recital's music n it; she says that she wants it played thrugh the theatre's sund system as 10 mre students arrive, ready t dance. Nw the TD is frced t say n, the sund system cannt be used, explaining that since there are nw mre than 20 perfrmers n stage, he must stay n stage at all times (mre abut that later). The lbby is nw full with parents, grandparents and sniveling siblings, thrughly irate because they have
11 11 nt been admitted int the auditrium. Onstage, the TD finds a mther wh he can trust t be an n-stage supervisr, (which will nw allw him t run the lights and sund frm the bth) while mving the manlift arund trying t make the last minute lighting changes s that the parents can at least see their children perfrm, albeit late. Guest Services Vlunteers have been called in, and the nly available technician is called away frm his sn's sccer game t run a fllwspt. The TD is frustrated and exhausted, Jane desn't have anything even clse t the smthly prduced dance recital that she wanted, the day has gne way ver budget, the parents are disgruntled, and everyne's safety has been jepardized SURELY DAYS LIKE THAT ARE THE EXCEPTION, NOT THE RULE... While the names have been changed t "prtect the inncent", that scenari is fairly representative f what we smetimes encunter. Unfrtunately, it is ultimately yu, the renter, wh lses in this kind f situatin. HOW CAN WE PREVENT THAT FROM HAPPENING TO US? We're s glad yu asked! Surprisingly enugh, Jane's prblems culd have been avided with a cuple f five-minute phne calls t the TD. WE HAVE NEVER BEEN GIVEN TOO MUCH INFORMATION ON AN EVENT. Even if yu think that it's nt necessary t tell us all f the details, tell us anyway. If yu dn't knw all the
12 12 details, give us an verview. Smetimes we can help yu fresee prblems and suggest alternatives that will save yu time and mney. And remember hw the TD culd nt perate the lights when the secnd grup f dancers arrived? 20 is the maximum number f peple, (perfrmers r crew) that can be supervised/evacuated by ne persn in case f an emergency. Abve this limit yu'll need tw (r mre) supervisrs nstage. One f these peple can be frm yur rganizatin, rather than a Cultural Centre staff member, but they must be apprved by the TD r Artistic & Managing Directr, they must remain nstage at all times and must be instructed in emergency prcedures. As we've said befre, the safety f yur grup, yur audience, and ur crew is ur tp pririty.
13 13 THE CENTRE BOX OFFICE - SECTION 2 The Centre Bx Office, Chilliwack's hme grwn ticket slutin, serves the Chilliwack Cultural Centre. Tickets fr any event that is bked int the Chilliwack Cultural Centre must be sld thrugh the Centre Bx Office. The Centre Bx Office is a custmer-fcused ticket agent, with the gal f making it as easy as pssible fr patrns t get the tickets they want - fr the perfrmance they want - at a time that is cnvenient fr them. Centre Bx Office is lcated just inside the frnt dr f the Chilliwack Cultural Centre, (lcated at 9201 Crbuld Street) at The Landing. Regular business hurs are 9:30 am t 9:00 pm, Mnday t Friday, and 9:30 t 5pm Saturday and Sunday. Please cntact the Bx Office Manager fr pricing details and tips n the best way t set up the ticketing fr yur event(s). Please remember that it takes time t set up the ticketing and prmtin f yur event six weeks befre yur event is the ideal time t have yur first cnsultatin with ur Bx Office Manager and Marketing Manager.
14 14 WHAT THE CENTRE BOX OFFICE PROVIDES FOR YOUR EVENT Cmplete ticketing services fr yur event, including 'at dr' sales n the date f yur event. The Centre Bx Office staff can assist yu in wrking ut yur base ticket price, yur cmplimentary ticket plicy, yur refund/exchange plicy, and yur wn seating hld requirements. A cmplete financial accunting, settlement and cheque will be issued t yu by n later than 5pm n the business day fllwing yur perfrmance. Ticket sales updates as ften as yu wish, daily, weekly, etc. Patrn Database (i.e.: when Ms. Jnes calls fr tickets, ur database will remind us that she requires a wheelchair seat) Custmer Fcused Sales, striving fr a stress-free experience fr yur audience. Pster distributin n yur behalf. Please cntact ur Marketing Manager fr rates and t make arrangements.
15 15 SETTING UP THE TICKETING FOR YOUR EVENT It is wise t cntact the Centre Bx Office management at least six weeks prir t the date f yur event t discuss what yur ticketing requirements will be. Sme issues t think abut are: What date yu wuld like yur tickets t g n sale. What yur ticket price will be, inclusive f GST, and fees. Exactly what yu want yur ticket t say. What yur ticketing requirements are, i.e.: technical hlds, prmter hlds, spnsr cmps, etc. Exchange and refund plicy (if any) fr yur event. Reserved r General Admissin seating. (We dn't, hwever, recmmend General Admissin seating fr the HUB Internatinal Theatre). Prviding us with psters fr the Bx Office as well as brchures, phts and ther prmtinal material s we can prmte yur event n ur website ( We can als include a link t yur wn website, if yu have ne.
16 16 THE PERFORMANCE SPACES - SECTION 3 (Mre extensive technical specificatins are available Just ask ur TD) THE HUB INTERNATIONAL THEATRE The theatre cnsists f a ttal f 584 seats, divided int a lwer rchestra sectin (cntinental seating) hlding 234 seats plus 14 wheelchair seating psitins and an upper rchestra sectin (standard theatre seating) hlding 294 fixed seats and a remvable rw f 44. A space at the back f the seating is available t accmmdate an alternate sund r lighting psitin. Nthing may be glued r taped t the walls f the theatre. Vilating this rule will incur a heavy penalty, and a very grumpy Technical Directr. THE ROTARY HALL STUDIO THEATRE Rtary Studi is a 49' x 65' flexible black bx perfrmance space, and is suitable fr recitals, dance r theatrical presentatins, rehearsals, receptins, gala penings, art exhibits, meetings and crprate presentatins, public frums, and lectures. DRESSING ROOMS The HUB Internatinal Theatre and the Rtary Hall Studi Theatre share seven dressing rms: dressing rms A and B with statins fr 16 persns, dressing rms C and D with statins fr 6 persns, dressing rms E and G with statins fr 3 persns, and dressing rm F with statins fr 5 persns.
17 17 Dressing rms E, F, and G have tilets, and dressing rms E and G als have shwers. There are additinal separate washrms fr male and female cast members (with shwers) and crew members. Users will be expected t bring their wn twels, tiletries and irns, if required. All dressing rm drs are lckable, hwever renters are encuraged t have a plan t deal with securing their valuables as the Cultural Centre staff cannt be respnsible fr the safety f these items. The dressing rms and washrms must be left clean and tidy when yur event is ver. GREEN ROOM A Green Rm (r perfrmer's lunge) is prvided fr bth yur use and the use f the Centre staff. If yu have cffee drinkers in yur grup, please ensure that yu bring cffee, cream and sugar. A pur-ver cffee maker, kettle, tea pt, dishes, glassware, and cutlery, are prvided. The Green Rm and the kitchen must be left clean and tidy at the end f yur rental. The Green Rm is a shared space between the tw theatres.
18 18 KITCHENS There are n kitchens available in the Chilliwack Cultural Centre; hwever, the green rm has a full-size refrigeratr, self-cleaning range, micrwave ven, dishwasher, cffee maker, cffee cups, dishes, cutlery, drinking glasses, water/juice jugs, dishclths, and tea twels. This space is nt licensed fr fd preparatin, but can be used fr reheating previusly prepared items. A FEW WORDS ABOUT CATERING... Many f ur users require the services f a caterer fr events in the lbby, the Studis, Rtary Hall Studi Theatre, r the Green Rm. The Rentals Manager can prvide a list f lcal caterers and advise n the mst efficient setup f these rms. The HUB Internatinal Theatre stage is nt available as a banquet r dining space. Yur grup must prvide vlunteers r ther persnnel t set-up and take dwn tables, chairs, decratins and signage. Please see Tables, Chairs and Risers n Page 19. The Cultural Centre has a supply f table skirts and clths yu are welcme t use. Please keep in mind that yu may be charged fr any linens that are damaged r stained. A limited number f tables are available - please cnsult ur Rentals Manager fr availability. Any additinal equipment must be supplied by yu r yur caterer. We can prvide wine glasses fr large events, althugh cleaning charges may apply.
19 19 The Chilliwack Cultural Centre hlds a liqur license which cvers the lbby, Rtary Hall Studi Theatre, O Cnnr Grup Art Gallery, and Perfrmance Studis A & B. We can prvide bartenders fr yur event. Speaking f ur liqur license.the Chilliwack Cultural Centre is licensed and retains the right t the serving f all alchlic beverages n the premises. Arrangements fr the prvisin f this service must be made thrugh the Rentals Manager. CHAIRS, TABLES AND RISERS The Chilliwack Cultural Centre has apprximately 400 flding chairs, 200 f which are dedicated t the Rtary Hall Studi Theatre. There is an assrtment f flding tables available. We stck 24, 3ft x 6ft black deck risers frm the Versalite Staging System which can be used fr either raised seating r a stage area. These risers are available at 8, 16, 24 and 32 fr cmplete height flexibility. PIANOS The Chilliwack Cultural Centre has a Yamaha 9 ft cncert grand pian stred n the premises and available fr rent fr use in the theatres. Cnsult with the Rentals Manager with regard t the rental rate. Please nte that the pians may nt be mved frm the main stage level, meaning that they may nt g nt risers r int the rchestra pit. The pians may nly be used by qualified pianists, and nly fr musical perfrmances. Shuld a pian need t be tuned, please cnsult with the TD t arrange fr ur tuner t cme in.
20 20 The fee fr tuning the pian will be passed n t yu. There is als a 7 grand pian available fr rent in the lbby. Additinal pians may be available thrugh the Chilliwack Academy f Music. FM BAND HEARING ASSISTANCE SYSTEM Bth perfrmance spaces are equipped with an FM Band Hearing Assistance System. This system allws members f the audience wh are hard f hearing t receive amplified direct sund. Use f ne f these persnal receivers is available at n cst thrugh the Guest Services Manager.
21 21 LET'S GET TECHNICAL SECTION 4 THE HUB INTERNATIONAL THEATRE STAGE The stage cnsists f a curved aprn 15 feet at the centre in frnt f the prscenium [*See prscenium belw] and an area behind the curtain apprximately 100 ft. wide by 35 ft. deep. (A hallway, accessible thrugh drs upstage right and left prvides a hidden backstage crss-ver frm wing t wing). The stage flr is black marmleum (a heavy frm f linleum) ver slid wd and is nt a wrking flr (meaning that it cannt be painted, cut, nailed r screwed int). The flr is sprung fr the cmfrt and safety f everyne using the stage flr, particularly dancers. As there are n cnstructin tls r materials available fr yur use, yu must ensure that yu bring the supplies and equipment that yu will require.
22 22 THE ORCHESTRA PIT The aprn cver can be remved t expse the rchestra pit. 50 music stands and 40 music stand lights are available. The user is respnsible fr prviding, placing and remving yur wn pian fr use in the rchestra pit: ur cncert pian cannt leave stage level. Yu must pay fr, r supply, crew t remve and replace the pit cvers and the time t d this must be cnsidered and scheduled n the wrk rder. THE PROSCENIUM The prscenium arch (the stage pening) is 40 feet 5 inches wide and 28 feet high. THE CURTAINS The Theatre's main curtain and grand brder are highquality, red, flame-prfed velur; they are extremely expensive and dn't take well t a lt f handling, s we're pretty prtective f them. The main curtain can pen either in a guilltine (up and dwn) r traveler fashin (pulling ff t stage right and left frm centre stage). The white curtain, r cyclrama (cyc) at the back wall f the stage, is wrth abut the price f a new imprt car and a careless handprint can cause irreparable damage. Our scrim (a screen fr special lighting effects) is wrth abut the same as a dwn payment n the purchase f a cnd. Please take extra care if yur grup includes small children - d nt allw them t tuch the curtains.
23 23 There are als tw black traveler curtains (which cver the stage t cmpletely cnceal everything behind them), 3 sets f legs (black masking curtains) n either side f the stage which act as entry & exit masking, and 3 black brder curtains (which hide the lighting instruments and flying pieces frm view f the audience). The curtains are mved by ur staff and are left in their last psitin. As will be stated in the sectin n flying, all rigging and flying must be dne by the Cultural Centre staff, r a trained persn apprved by the centre's TD. THE FLY SYSTEM The HUB Internatinal Theatre has 46 single purchase cunterweighted line sets, 28 f which are available fr yur use. Yur flwn pieces, (banners, set pieces, Peter Pan...), cannt weigh any mre than 1200 lbs. Each line available fr yur use has a 58 ft batten attached t it, with a future ptin fr tw, 2 ft 6 inch extenders fr an verall maximum batten length f 63 feet. The maximum flying height is 65 feet this will mre than hide the tallest r lngest flwn piece f scenery well ut f view f the audience. Insurance and WCB regulatins prhibit peratin f the fly system by anyne nt authrized by the TD, and this means that yu may need t cnsider an additinal crew member when yu are budgeting. All verhead rigging and suspensin f items must be supervised and apprved by the TD. We're very particular abut this pint, s it's a gd idea t have a talk with the TD abut it preferably befre we start mving fly lines.
24 24 There are n fly lines in the Rtary Hall Studi Theatre. CLEARCOM SYSTEM Our ClearCm headset system prvides cmmunicatin between technician's psitins such as stage management, sund, lights, flies, backstage, fllw spts, and frnt-f-huse. THE COMPANY SWITCH If yu shuld yu require 3-phase supply fr yur equipment, the TD must arrange the cnnectin and reserves the right t refuse cnnectin f unsafe equipment. A fee may be charged. The available cnnectins are as fllws: amp, 3 phase, 4 wire, 120/208V lcated Upstage Right in the HUB Internatinal Theatre amp, 3 phase, 4 wire, 120/208V lcated Upstage Right in the HUB Internatinal Theatre amp, 3 phase, 4 wire, 120/208V lcated in the lading bay (fr use in the Rtary Hall Studi Theatre) THE LIGHTING SYSTEM Our TD can prvide yu with a detailed inventry f lighting equipment and grid layut, but here is a quick verview f the equipment we can ffer yu: Theatre Lighting Bard - Electrnic Theatre Cntrl In cnsle
25 25 Studi Lighting Bard - Electrnic Theatre Cntrl In cnsle Huse light cntrl is ETC Paradigm r the ETC In cnsle 200 Lighting Instruments in the HUB Internatinal Theatre (The cnnectrs are Twist-lck - single ple, 20 amp) 32 Lighting Instruments in the Rtary Hall Studi Theatre (16 Twist-lck-single ple, 20 amp and 16 u-grund) The HUB Internatinal Theatre Cntrl Bth is lcated at rear centre f the auditrium, up ne flr and is accessed frm the Lbby balcny level. A Rbert Juliat Krrigan Fllwspt is lcated inside the fllwspt bth, directly abve the Main Theatre Cntrl Bth. The Cultural Centre stcks a variety f Rsclux clur media gels and a selectin f gbs. They are available in ur general stck fr yur use at n additinal charge. If yur event requires a specific lighting hang, yu will almst certainly need t bk additinal rental time fr us t hang it fr yu. If yu d nt have any specific lighting requirements, ur standard huse lighting hang will be prvided fr yur event.
26 26 If yu require a lighting designer but d nt knw where t find ne... we can put yu in cntact with experienced designers t cnsult with yu in regards t yur lighting design. The services f these prfessinals are nt, hwever, free f charge. Ask ur TD SOUND The Chilliwack Cultural Centre is equipped with fairly cmplete sund systems in each f the tw perfrmance spaces. In the past, cues were recrded n reel t reel r cassette tapes; hwever we find that trying t find sund cues n a tape is like lsing yur car keys; eventually yu find them but yu lse yur hair and yur patience in the prcess. If there is n ther ptin, we can run yur sund frm tape. Regardless f what frmat is used, we strngly urge ur users t make a backup, r emergency, cpy f yur cues. We can als assist yu in recrding yur cues, but this will require time and a sund peratr. If yu have any questins abut sund, please d nt hesitate t cntact ur TD.
28 28 THE STAFF OF THE CHILLIWACK CULTURAL CENTRE - SECTION 5 Yur rental cmmences when ur technician begins the wrk t prepare fr yur shw, and ends when the theatre has been restred t its pre-shw cnditin and ur technicians have left the building. Yur rental includes the services f: The Technical Directr fr 7 wrking hurs A Guest Services (Frnt f Huse) Manager fr 4 hurs Guest Services Vlunteers (Ushers) fr 4 hurs The Canadian Labur Cde requires all staff t have a meal break after 5 hurs f wrk; the theatre must be vacated during this break. The Technical Directr assigned t the rental (and their crew, if any) must have a ttal f ne hur fr breaks - either tw 15-minute cffee breaks and a half-hur meal break, r ne, 1-hur meal break. Yur grup must leave the theatre during the break(s)! We are very serius abut ur staff being able t take breaks; please check yur cntract fr details n penalties that will be assessed if the staff are unable t take their breaks!!! The Technical Directr n duty will designate the break in cnsultatin with yu.
29 29 Overtime charges apply after 7 hurs f wrk. Shuld the Technical Directr be required t wrk mre than 7 hurs n a given day, vertime charges will be billed. Please cnsult yur license agreement fr vertime rates. Guest Services staff - Guest Services Manager, Ushers, Ticket Takers and Cncessin staff are scheduled t wrk a 4 hur shift fr yur event; this includes set-up befre yur event and clean-up afterward. If the Guest Services staff are required t wrk mre than 4 hurs, yu will be billed fr Guest Services vertime. If yu have tw perfrmances in ne day, (fr example, a matinee and an evening perfrmance) yu will be charged fr a secnd guest service call, which will be billed n yur final invice. The Chilliwack Cultural Centre reserves the right t require security persnnel fr yur event, thugh the majrity f events d nt require security. THE ARTISTIC & MANAGING DIRECTOR The Artistic & Managing Directr is the persn respnsible t ensure that the plicies set in place by the Chilliwack Cultural Centre's Bard f Directrs are adhered t, and make sure all cntractual bligatins are fulfilled. The Technical Directr, Rentals Manager, Bx Office Manager and/r Guest Services Manager may act as the Artistic & Managing Directr's designate.
30 30 THE RENTALS MANAGER The Rentals Manager is the persn yu cntact regarding the Centre's availability, bking, cntracts and the assciated fees. He r she is als yur cntact fr Frnt f Huse, Liqur permits, SOCAN, staffing, and merchandising. THE TECHNICAL DIRECTOR (TD) The Technical Directr is the persn wh is respnsible t assist with yur event's technical requirements. The TD will hire and schedule any additinal paid crew, and will be respnsible fr ensuring that the Cultural Centre's perfrmance spaces run in a safe and smth manner. He r she is yur liaisn and yur best resurce while in the Centre. Shuld a prblem r cncern arise, apprach yur TD. If they d nt have an answer r slutin, they will prbably knw wh des. The Technical Directr will cntact yu ne r tw weeks prir t yur event, be prepared t discuss yur technical requirements. The TD is here t help yu, and wn't bite (unless yu bring dnuts).
31 31 THE TECHNICAL STAFF The Cultural Centre's technical staff are a grup f full and part time theatre technicians. They are trained in the specific peratin f the Centre's equipment, and have the skills needed t smthly run yur shw. The crew may cnsist f (but is nt limited t) lighting electricians, hang and fcus crews, lighting bard peratrs, fllwspt peratrs, riggers, flypersns, sund peratrs, stage managers and deck crew. THE GUEST SERVICES MANAGER The Guest Services Manager is respnsible fr ccrdinating the audience fr yur prductin and ensuring their safety. He r she will als rganize distributin f any prgrams prvided by yur grup, and cllectin f tickets. Lbby displays, receptins, and merchandising, must be apprved by the Artistic & Managing Directr prir t yur event. GUEST SERVICES VOLUNTEERS (als knwn as Ushers) Guest Services Vlunteers are required when the public is admitted t any f the Cultural Centre's perfrmance spaces. Fr this purpse, "public" is defined as a number f persns nt directly invlved with the presentatin f yur event, whether r nt they have paid an admittance fee f any kind. Admissin f nnprductin peple t rehearsals must be cleared with the Rentals Manager. A wrd here abut parents and relatives...much as we like them, (we even have sme urselves) they are nt
32 32 welcme backstage after a perfrmance. The reasns fr this are many, including being in cntraventin f mre sectins f the fire cde than yu care t knw. We can recall ne event in which there were 50 yung musicians perfrming nstage. Each musician had an average f three relatives in the audience, s when they all came backstage after the shw, there was a crwd f 200 peple nstage. This can nly be equated with inviting a hckey team int yur bathrm. This is an EXTREMELY DANGEROUS situatin and is the reasn why the Guest Services Vlunteers will nt allw backstage visitrs, s please d nt encurage them. Ask yur visitrs t meet yu in the lbby.
33 33 RULES AND REGULATIONS - SECTION 6 A nn-refundable cancellatin depsit is required in rder t secure yur date; this must be paid at the time f a challenge r at the pint f cntracting. This depsit will be credited t yur final invice. The balance wing and any additinal charges (i.e. vertime hurs, equipment rental) detailed n yur final invice will be settled nt less than five wrking days fllwing yur event. A certificate f insurance is required fr yur event with cverage f tw millin dllars with the City f Chilliwack and the Chilliwack Arts & Cultural Centre Sciety listed as additinal insureds. This certificate f insurance must be delivered t the Rentals Manager prir t yur event r yur event will be cancelled. Mre details are available t yu in the frmal rental cntract. We lk frward t wrking with yu t make yur event a success. If yu have further questins please d nt hesitate t cntact ur Rentals Manager. THE FIRE MARSHAL The Chilliwack Fire Marshal is ne f the mst reasnable peple we knw; cnsequently, we try t keep him happy. This means that we must enfrce the fire regulatins f the city and the prvince n his behalf. WE WILL NOT PERMIT, UNDER ANY CIRCUMSTANCES, ANYTHING WHICH IS IN VIOLATION OF THESE REGULATIONS.
34 34 We're abslutely cmmitted t this idea. We thught we'd let the Fire Marshal speak fr himself n sme f the mre cmmn vilatins: "N persn shall sit, stand, r liter in any aisle, stairway r passageway f any theatre. "N persn shall bstruct r cause r permit t be bstructed any aisle, stairway, r passageway in a theatre by placing, cnstructing, r leaving anything therein r theren. "The prprietr r persn in charge f any theatre shall nt permit r cause any persn r persns t d anything in vilatin f this sectin....and these are just the cncerns regarding Frnt f Huse! Smetimes ur users frget these bstructins can include tables, micrphne stands, vide cameras r camera tripds, tape decks, chairs, walkers, strllers, crutches, canes r anything else yu culd pssibly imagine. Please keep this in mind when yu're planning yur event. Smetimes yu can get special permissin t put small items in the fire lanes, but this means that yu must give the Fire Marshall a drawing f exactly what yu intend t d at least tw weeks befre yur event. He then determines if there is any chance f apprval, and if yur plans are acceptable, he will start the prcess f applying fr apprval. Apprval r denial can take up t a week.
35 35 If this is hw he feels abut putting stuff in the aisles and blcking exits, yu can imagine hw he feels abut smking, nt t mentin explsives, in the building. SMOKING The Cultural Centre is an entirely nn-smking building. Perfrmers may smke, (with written permissin frm the Fire Marshal) eat and drink nstage ONLY as part f the actin f the perfrmance. All smking materials must be extinguished int a bucket f damp sand immediately upn leaving the perfrmance area. Smking is strictly prhibited in the bth. These rules include e-cigs.
36 36 SPFX (SPECIAL EFFECTS) Sme f ur favrite things in theatre are als the things that make us the mst nervus. Mst f these things fall under the heading f Special Effects. While we like things that pf, sparkle, blws up, r fly as much as the next persn, WE WILL NOT ALLOW THE SAFETY OF A PERFORMER OR PATRON TO BE JEOPARDIZED BY AN UNSAFE SPECIAL EFFECT! All t ften, badly planned r prly built special effects are nt nly ineffective, but deadly. Even things like bats flying acrss the stage in Dracula, Peter Pan taking ff fr Neverland r the chandelier falling in Phantm are cnsidered Special Effects. If yur shw invlves pyrtechnics f any kind, yu must btain a permit frm the Fire Marshal ( ). These items may include, but are nt limited t; Blank firing firearms - (the persn n yur crew designated t perate the firearm must have firearms training, a Firearms Pssessins & Acquisitin Certificate and firearms license) flame f any kind (including candles and lighting cigarettes), flash pts, strbe lights, unsafe scenery etc. We will nt jepardize ur relatinship with the Fire Marshall at any cst. N written apprval r permit equals n SPFX/fire, n exceptins! These apprvals and permits take time t acquire s make sure that we are the first t knw abut anything ut f the rdinary that needs t happen in yur shw. Under the license agreement, yu will be respnsible fr the bth reprting yur event and any csts levied against it. T find ut mre abut SOCAN r Re:Sund in greater detail, please check ut their websites at and MERCHANDISE Any merchandise (CD s, shirts, psters, vides, etc.) sld in r adjacent t the Cultural Centre s perfrmance spaces is subject t a 15% cmmissin fee that will be cllected by the Artistic & Managing Directr r Guest Services Manager n the night f the shw. RAFFLES & SILENT AUCTIONS Raffles and silent auctins must be apprved by the Rentals Manager and yu will be required t display a cpy f yur gaming licence, if applicable. The Chilliwack Cultural Centre will nt take a cmmissin fee frm raffles r silent auctins. KEEPING IT NEAT Fd and beverages are prhibited in the auditrium and nstage. The Guest Services Manager and Vlunteers are very strict abut fd and drink near ur
38 38 uphlstered seats, and they will refuse audience members entry if they are carrying fd r drink. Onstage, fd and beverages present all kinds f hazards frm spillage int r ver electrical equipment, t making the stage flr dangerus, t ruining the set decratin pieces. Exceptins can be made fr fd nstage when it is part f the perfrmance, but it must be restricted t the perfrmance area and prps table. Fd and beverages are prhibited in the cntrl rms, and the cnsumptin f alchl is prhibited in all areas f the Cultural Centre except thse which are licensed t sell alchl. SET WORK ON THE STAGE Carpentry wrk and painting shuld be kept t the minimum required t assemble r repair cmpleted pieces f scenery. Spilled paint, sawdust etc., must be cleaned up immediately. Large amunts f sawing and sanding are nt permitted because f the damage the dust des t stage equipment, draperies, and perfrmer's vices. Carpentry wrk shuld take place in the receiving bay whenever feasible.
